Job Description

1) Oversee the administrative management of various business-related functions, including supervisory responsibilities, such as:

  • Data Management: Acquire and consolidate alumni data from sources such as the Specialists Accreditation Board (SAB) and Ministry of Health Holdings (MOHH).
  • Alumni Database Maintenance: Maintain and update the alumni database, tracking the performance of graduates from the Duke-NUS MD and MD-PhD programmes. Use the data for outcome management and prepare reports for senior management.

2) Alumni Engagement and Support:

  • Develop and execute strategic programmes to support alumni in their career progression.
  • Collaborate with the Duke-NUS Medical Alumni (DNMA) and the Office of Education (OoE) to organise alumni-related events and activities, such as the Annual General Meeting (AGM), to foster stronger bonds between alumni and the school.
  • Implement initiatives to attract and increase alumni participation in school activities.
  • Respond to alumni enquiries and manage requests for support related to alumni matters.

3) Admissions and Student Support:

  • Assist with managing the admissions process for the Conditional Admissions (CA) application cycle.
  • Oversee supplementary activities for current CA students, ensuring their development and engagement.
  • Provide operational and administrative support for CA admissions-related events.

4) Procurement and Budget Management:

  • Handle procurement processes for goods and services required by the office, ensuring compliance with policies.
  • Maintain accurate records and ensure proper accounting of budget utilisation.

5) Other Duties:

  • Perform other administrative responsibilities or participate in regular and ad-hoc projects as assigned by the Supervisor.

Qualifications

  •  A degree or equivalent in a related discipline (e.g., Business Administration).
  • Candidates without experience or Diploma holders with at least 5 years of relevant experience  are welcome to apply; prior experience in higher education and/or healthcare sectors is advantageous but not required.
  • Possess strong skills in data generation and analysis for report preparation.
  • Meticulous, well-organised, and capable of handling multiple tasks simultaneously.
  • Have excellent interpersonal skills and a collaborative team player.
  • Proficient in Microsoft Office applications and have strong IT skills for database system management.
