Job Description

This position in the Education Administration Department will be responsible for general administration, coordination and execution of a variety of business functions of Registrar Services to ensure the smooth running of daily operations.
1.Manage and organise Student P-Files (physical and electronic versions) and student database; and update student records in the University Education Records (EduRec) system for changes in students’ personal particulars or citizenship/residency status.
2.Prepare Student Status Letters and respond to students’ requests.
3.Support accepted incoming students by providing relevant information via emails and an online forum, and attending to their queries.
4.Collect, track and follow-up on the submission of entry qualification documents of MD students. Update and verify documents submitted online.
5.Advise and support incoming international students on application for Student’s Pass (visa). Track existing international students’ Student’s Pass expiry date and support to apply for extension.
6.Submit card printing request to NUS Smartcard Centre for new students and request card access from Facilities. Assist students in their application for replacement of lost/damaged Student Smartcards. Assist students to resolve smartcard access issues by communicating with relevant parties.
7.Collect, track and follow-up on the submission of immunization and health screening requirements documents of MD students. Update and verify documents submitted online.
8.Administration of students’ academic records to ensure accurate information is recorded in NUS EduRec system, which includes creation of new course classes and timetables, course enrolment, credit transfers and updating of student status.
9.Assist to prepare and update various student statistics for purpose of management reports and responding to ad-hoc requests.
10.Work closely with the team to facilitate the smooth running of department operations. Proactively identify ways to review, improve and streamline work processes for value-added impact and outcomes.
11.Attend to registrar-related enquiries and respond to department emails. General office administration, including sorting and filing or shredding of documents.
12.Assist with the organisation and coordination of meetings and events.
13.Perform other related duties incidental to the work or as assigned by the supervisor.

Qualifications

 

  • Bachelor’s Degree or equivalent in any discipline.
  • Prior work experience in an academic environment with a focus in tertiary registrar operations and general tertiary student concerns would be advantageous
  • Meticulous, analytical and well-organised.
  • Proficient in data generation and analysis of data for reports
  • Reliable and conscientious team player with effective written and verbal communication skills.
  • Competent in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.
  • Proficient in general software applications that facilitate work operations such as Microsoft Office programmes and design software.
