Job Description
The incumbent is responsible for providing administrative support to the Board Secretariat in managing and coordinating board-related activities. This role also involves assisting in the analysis and interpretation of risk management data to support informed decision-making.
Key Responsibilities:
Board Secretariat Support:
• Assist in managing and coordinating board-related activities, including supporting board meetings, coordination of board member induction and other board engagement events.
• Assist in maintaining board member records.
• Coordinate logistics for board meetings, including Boardroom Setup (physical and virtual), liaising with Facilities team, venue booking, and catering arrangements. Onsite support at meetings including tea/food serving, cleaning up after meetings, conferencing.
• Maintain accurate and up-to-date files and records related to board secretariat activities.
Risk Management Support:
• Support the collection and organisation of risk management data.
• Assist in analysing and summarising risk management data and identifying trends.
• Help prepare reports, presentations, and other documents summarising key findings and insights related to risk management as required.
• Collaborate with the risk management team to ensure accurate and timely data collection and analysis.
• Assist in maintaining systems and applications for risk management information and reporting.
Administrative Support:
• Provide general administrative support to the Board Secretariat and Risk Management Department, including inventories/equipment maintenance, scheduling meetings and handling correspondence.
• Take accurate department meeting minutes and ensure their timely distribution to relevant stakeholders.
• Arrangement for local and/or overseas delivery services.
• Procurement and Finance matters.
• Support the implementation and maintenance of effective administrative processes and procedures.
• Support other ad hoc administrative duties as required.
Qualifications
- Bachelor's degree in a relevant field (e.g., Business Administration/Risk Management
- Proven experience in providing administrative support, preferably in a board secretariat or related role.
- Strong organisational and time management skills, with the ability to prioritise tasks and handle multiple deadlines.
- Excellent communication and interpersonal skills, with the ability to interact effectively with senior executives and stakeholders.
- Proficiency in using office productivity software (e.g., Microsoft Office Suite).
- Attention to detail and accuracy in data management and documentation.
- Knowledge of risk management/compliance principles and processes is an advantage.
- Familiarity with board governance practices and protocols is desirable but not required.
