Job Description

 

Responsible for the coordination and execution of a variety of business functions in the Signature Research Programme in Health Services and Systems Research, including but not limited to grant management, finance, procurement, staff recruitment, faculty appointment and promotions, events and publicity, and other related duties incidental to the work described herein or as assigned by the supervisor.

 

Research Agreements

 

  • Liaise with multiple parties such as legal office, faculty staff members and external partners to draft various types of research agreements.

 

Grants and Finance Related Matters

 

  • Provide administrative support in grant applications and post-award grant management.
  • Ensure all expenses are in line with the policy of grantors and the School.
  • Submit cash flow projections, quarterly claims and annual reports on time.
  • Perform general financial accounting operations on research accounts and keep records of all transactions within each research account. 
  • Track externally funded research budgets and manage project budgets.
  • Handle procurement and invoices, liaise with vendors and follow up on payments.

 

Staff Related Matters

 

  • Assist in the recruitment and appointments of new faculty and research staff, from raising manpower requisition up to new staff onboarding.
  • Handle paperwork for student attachments.
  • Assist staff's enquiries on staff benefits and procedures on claims submissions.

 

Outreach

 

  • Assist in organising events such as staff retreat, conferences and international workshops.
  • Assist in maintaining and updating the department website.

 

Job Requirements

 

  • Degree or equivalent in Biomedical Sciences, Public Health, Business or other related disciplines.
  • Minimum 2 years of relevant work experience; prior experience in research or research/grant management would be advantageous.
  • Possess good business writing skills.
  • Able to prioritise, multi-task and work independently as well as within a team. 
  • Have good interpersonal and communication skills.
  • An energetic, self-driven, highly emotional and adversity quotient individual who is meticulous and able to deliver results, sometimes under tight timelines.
  • Proficient in general software applications that facilitate work operations such as Microsoft Office.
