Job Description

The SingHealth Duke-NUS Global Health Institute (SDGHI) is an enabling platform for global health activities across the SingHealth Duke-NUS Academic Medical Centre (AMC). The Institute aims to address current and emerging health challenges across Asian countries. Working in collaboration with partners, SDGHI seeks to tackle prevalent health challenges, strengthen health systems and better insulate countries from pandemics and disease threats.

 

We are recruiting a Management Assistant Officer to support the Administration team that supports the administrative and operational needs of SDGHI and its enabling platforms and programmes, including the Centre for Outbreak Preparedness, that in totality, advance SDGHI’s mission and agenda. 
 
The successful candidate will be expected to work with colleagues across the AMC, including those from SingHealth, and perform a variety of tasks including:

  • Scheduling of meetings which often include multiple stakeholders, both internally and externally.
  • Making travel arrangements for faculty, staff members and partners (where applicable), including booking of flights, arranging for accommodation, processing travel claims and seeking the necessary approvals to ensure policy compliance and governance.
  • Liaise with colleagues within the Department and across the School on operational matters and services such as procurement, finance and facilities.
  • Providing administrative support to the delivery of operations in a timely and efficient manner where required.
  • Assist in the preparation of logistics for internal and external events.
  • Assist in updating and maintaining database and records where required.
  • Serve as a liaison for day-to-day operational matters.
  • Perform other related duties as assigned by the reporting manager.

Qualifications

  • Diploma or equivalent in a related discipline with at least 5 years of relevant work experience.
  • Prior work experience in a healthcare, research or academic environment would be advantageous.
  • Meticulous, well-organised and possess excellent problem-solving and time management skills to work in a fast-paced environment.
  • A strong team player and is able to work efficiently in a diverse work environment. 
  • Possess good interpersonal skills with a service-oriented mindset and ability to communicate clearly.
  • IT savvy and proficient in general software applications that facilitate work operations such as MS Office programme.
