Job Description
The Office of Innovation and Entrepreneurship (OIE) at Duke-NUS Medical School plays a pivotal role in advancing healthcare innovation by protecting and commercialising groundbreaking inventions from Duke-NUS researchers. OIE is actively looking for a dynamic and self-motivated individual to be responsible for general administration, coordination and execution of a variety of business functions, including but not limited to the following:
- Office Administration & Operations: Provide comprehensive operational support in areas such as procurement, space management, inventory control, website content management and grant administration.
- Data Compilation & Reporting: Prepare timely and accurate data reports, incorporating analytical insights to support decision-making and continuous improvement initiatives.
- Financial Monitoring: Monitor, track, and reconcile monthly expenditures against budgets for various departments/functions, ensuring compliance with financial policies and providing regular updates to management.
- Process Improvement: Proactively review, streamline, and enhance work processes to drive operational efficiency, add value, and support OIE’s strategic objectives.
- Stakeholder Support: Liaise effectively with internal and external stakeholders to coordinate administrative functions and facilitate collaborative projects.
- Ad-Hoc Duties: Undertake additional responsibilities as assigned by supervisor, contributing flexibly to OIE’s evolving operational needs.
Qualifications
- Bachelor’s Degree or equivalent in a related discipline.
- Minimum 2 years of relevant work experience in administration, operations, or other related fields.
- Demonstrated proficiency in business writing and documentation.
- Highly organised, meticulous, and able to manage multiple priorities effectively.
- Possess strong interpersonal and communication skills and able to work both independently and as part of a team.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant business applications.
- Prior work experience in a research/ academic/ healthcare environment would be advantageous.
