Job Description
This position in the Education Administration Department will be responsible for the planning role and operational function related to the disbursement of Student Finance. The successful candidate will also support the smooth running of various education administration processes in ensuring the efficient management of student finances, student records and progression, as well as other education administration activities within the Office of Education (OOE).
1. Responsible for the management of student finance related processes and other student records activities, ensuring accuracy, compliance, and timely execution.
2. Liaise with Departments within the School, i.e. Admissions and Alumni Affairs (AAA), Development, Finance, as well as NUS Office of Finance, NUS Graduate School and the Ministry of Education on matters related to student scholarships/bursaries disbursements, grants, student finances and philanthropic funds.
3. Monitor and manage philanthropic funds allocated to various departments within the Office of Education, ensuring optimal utilisation of funds and monitors fund sustainability.
4. Compile data, claims and reports in a timely manner with analytical inputs.
5. Work with various departments for financial reconciliation and variance reporting.
6. Ensure all financial practices align with audit requirements and institutional policies.
7. Provide support and planning for registrar services in matters related to student records and student progression that affects students’ tuition bills.
8. Updating of NUS student record system with student status, term activation and term withdrawal to ensure accurate generation of students’ tuition bills.
9. Updating of NUS student record system to ensure accurate disbursements of scholarships and bursaries awarded to students.
10. Engagement with students who have difficulty in meeting the tuition fee payment deadline.
11. Attend to tuition bill and student finance related queries from students and Finance Department, which may require investigation and updating of student records to resolve tuition bill issues.
12. Track and record student status in order to provide accurate actual and projected student numbers for the purpose of financial planning/budgeting and claiming of tuition grant funding from MOE.
13. Support the department business planning needs, e.g. review of income and expenditures, budget management.
14. Work closely with the team to facilitate the smooth running of department operations. Proactively identify ways to review, improve and streamline work processes for value-added impact and outcomes.
15. Provide secretarial support for committee meetings and perform other related duties incidental to the work described herein or as assigned by the Department Head.
Qualifications & Competencies
• Bachelor’s Degree or equivalent in any discipline.
• Minimum 3 to 6 years of relevant work experience in a related role.
• Meticulous, analytical and well-organised.
• Proficient in data generation and analysis of data for reports.
• Reliable and conscientious team player with effective written and verbal communication skills.
• Demonstrate good interpersonal skills with experience in engaging stakeholders at all levels within complex circumstances.
• Competent in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.
• Proficient in Microsoft Office applications and communication tools.
