Job Description

Responsible for general administration, coordination and execution of a variety of business functions of Registrar
Services to ensure the smooth running of daily operations, including but not limited to the following:-
1.    Maintain Student P-Files and student database and update student records in the University Education Records (EduRec) system for changes in students’ personal particulars or citizenship/residency status.
2.    Manage and organise an electronic version of Student P-Files system which will include scanning of documents in older P-files for electronic storage and transferring of hardcopy P-files to external storage location.
3.    Prepare Student Status Letters and respond to students’ requests.
4.    Collect, track and follow-up on the submission of entry qualification documents of MD students. Update and verify documents submitted online in the Document Requirement system. Upload files of earlier students into the relatively new Document Requirement system.
5.    Advise and support incoming international students on application for Student’s Pass (visa). Track existing international students’ Student’s Pass expiry date and support to apply for extension.
6.    Plan and coordinate graduation gown fitting sessions for students. Maintain and manage internal stock of academic attire.
7.    Work closely with the team to facilitate the smooth running of department operations, including following up with students on outstanding fees, updating of Registrar Services website and purchasing stationery and other required office items. Proactively identify ways to review, improve and streamline work processes for value-added impact and outcomes.
8.    Attend to registrar-related enquiries and respond to department emails. Perform general office administration, including sorting and filing or shredding of documents.
9.    Assist with the organisation and coordination of meetings and events.
10.    Perform other related duties incidental to the work or as assigned by the supervisor.

Qualifications


•    Degree or equivalent in any discipline.
•    Prior work experience in an academic environment would be advantageous.
•    Familiarity with tertiary registrar operations and general tertiary student concerns would be advantageous.
•    Meticulous, well-organised, detail-oriented and able to multi-task. 
•    Reliable and a conscientious team player with effective written and verbal communication skills.
•    Proficient in general software applications that facilitate work operations such as Microsoft Office programmes and design software.
