Job Description

Responsible for general administrative, coordination and execution of a variety of business functions of Registrar Services to ensure the smooth running of daily operations, including but not limited to the following:-

1.    Support accepted incoming students by providing relevant information via emails and an online forum, and attending to their queries.

2.    Collect, track and follow-up on the submission of immunization and health screening requirements documents of MD students. Update and verify documents submitted online in the Document Requirement system.

3.    Administration of students’ academic records to ensure accurate information is recorded in NUS EduRec system, which includes creation of new module classes and timetables, module enrolment, credit transfers and updating of student status.

4.    Submit card printing request to NUS Smartcard Centre for new students and request card access from Facilities. Assist students in their application for replacement of lost/damaged Student Smartcards. Assist students to resolve smartcard access issues by communicating with relevant parties.

5.    Maintenance of Student P-Files and student database and updating of student records in the University Education Records (EduRec) system for changes in students’ personal particulars or citizenship/residency status.

6.    Managing and organising an electronic version of Student P-Files system which will include scanning of documents in older P-files for electronic storage and transferring of hardcopy P-files to external storage location.

7.    Assist to prepare and update various student statistics for purpose of management reports and responding to ad-hoc requests.

8.    Work closely with the team to facilitate the smooth running of department operations. Proactively identify ways to review, improve and streamline work processes for value-added impact and outcomes.

9.    Attend to registrar-related enquiries and respond to department emails. General office administration, including sorting and filing or shredding of documents.

10.    Assist with the organisation and coordination of meetings and events.

11.    Perform other related duties incidental to the work or as assigned by the supervisor.

Qualifications


•    Recognised degree or equivalent in any discipline. Entry-level candidates or Diploma holders with at least 5 years of relevant experience may also be considered.
•    Prior work experience in an academic environment would be advantageous.
•    Familiarity with tertiary registrar operations and general tertiary student concerns would be advantageous.
•    Meticulous, well-organised and able to multi-task. 
•    Reliable and conscientious team player with effective written and verbal communication skills.
•    Proficient in general software applications that facilitate work operations such as Microsoft Office programmes and design software.
