Executive / Senior Executive, Facilities

Job Description

Responsible for general administration, coordination and execution of a variety of business functions in the Facilities Planning department including but not limited to the following: -

  • Conduct regular checks and inspection on grounds to ensure building is well maintained
  • Manage A&A projects including coordination with Consultants, liaise with relevant authorities to obtain clearances, etc and follow up on defects, payment, certification, etc
  • Plan and coordinate with users and contractors to ensure smooth and efficient operations and delivery of works
  • Manage users’ expectations related to additional requirements, etc
  • Preparing quotation/tender documents including sketches, drawings, specifications, etc including engagement of contractors and monitor the progress till the delivery and completion of the works
  • Update and track progressively floor plan and other relevant drawings in AutoCad format
  • Update and track progressively the space management system, schedules, data entry & data mining, tracking of facilities assets, floor register, car park management, events, reporting, etc
  • Assist in handling the internal project documentation, manuals, as-built drawings, etc
  • Assist in implementing preventive and corrective maintenance of equipment and building services, oversee the maintenance and upgrading of equipment and building services
  • Assist in the fire and general workplace safety including updating FEP, ERP, floor register, arrange training for fire wardens, fire drill, etc
  • Assist in programming/ facilitate the access for staff, visitors, resources, events, etc
  • Review, enhance and streamline work processes for value-add impacts and outcomes.
  • Serve as a liaison for day-to-day operation matters
  • Perform other related duties incidental to the work described herein or as assigned by the supervisor.

Qualifications

  • Recognised University Degree in Facilities Management, Building, Engineering or Architectural or equivalent in related discipline.
  • Fresh graduate or 1 to 2 years of work experience
  • Conversant with MS Office applications
  • Basic knowledge in Workplace Safety & Health Acts
  • Basic understanding of tendering and construction processes and cost control
  • Basic knowledge in contract administration and authority requirements
  • Basic knowledge in procurement, accounting and processing of payments
  • Basic knowledge in architectural, structural and M&E systems and construction detailing
  • Able to write minutes of meeting and prepare progress report
  • Ensure good record keeping and filing administration
  • Familiar with latest version of AutoCAD
