Job Description

Provide administrative duties to support the Academic Medicine Department, and serve as the key administrative officer supporting Academic Talent Development and Support/Academic Liaison & Strategic Relations.

  • Provide effective coordination and administrative support for talent initiatives such as Academic Medicine (“AM”)-Named Donor Professorships, Tenure/Tenure Track Faculty Mentoring Committees, MD-PhD Scholars Engagement.
  • Facilitate events/platforms for the engagement of academic talents including the Clinician Researchers (Clinician Scientists, Clinician Investigators and Clinician Innovators), Clinician Educators, Medical Students and other AM talent groups and stakeholders.
  • Devise strategies and develop processes, policies, and structures to support the implementation of academic talent development schemes. 
  • Coordinate meetings, events, and secretariat function to take minutes and notes of discussions.
  • Liaise with Faculty and Academic Clinical Programmes (“ACP”) / Stakeholders on requests for access to Duke-NUS systems and process applications for Webinars Usage, NUS/Duke-NUS Guest Accounts, and Duke-NUS Assets custodianship; etc and facilitate administrative support to senior/tenure faculty for reimbursements/travel claims.
  • Maintain Databases of Academic Clinician Talent, ACP Faculty and Professors, Clinician Scientists, Scholars, Pipeline, etc.
  • Support on the collaborations and coordination of initiatives to engage and support ACPs, Faculty and stakeholders.
  • Create and maintain Duke-NUS Guest Accounts to facilitate system access.
  • Provide administrative support to organise and showcase Academic Medicine-centric events, such as sending invitations and collating RSVPs etc.
  • Managing the usage of Zoom webinar accounts and scheduling of Zoom webinars for relevant stakeholders.

Job Requirements

  • Diploma or equivalent with at least 2 to 3 years of relevant work experience.
  • Have strong track record of project management and supporting multi-faceted projects with good outcomes.
  • An energetic, self-driven, highly emotional and adversity quotient individual who is meticulous and able to multi-task.
  • Possess good organisational skills, ability to carry our coordination work efficiently and in a timely manner.
  • Strong team orientation and able to relate and engage senior staff and who is sensitive to cultural nuances.
  • Good interpersonal skills and able to work well in teams.
  • Possess good command of written and spoken English.
  • Proficient in Microsoft Office applications such as Word, Excel, PowerPoint and Access.
