Job Description

The candidate will be working in the Department of Political Science.  For this position, the candidate is to provide support for undergraduate and graduate matters, finance and  procurement, IPSA-NUS Methods School programme  and other ad-hoc duties in the Department.

Job Scope
Undergraduate and graduate matters
•    Handle undergraduate and graduate matters, set up and manage course registration, handle student enquiries.
•    Oversee the administration of exam invigilation and grading submissions.
•    Handle Honours Thesis, Independent Study course, Undergraduate Research Opportunities Programme (UROP), Internships matters.
•    Handle Student Exchange Programme (SEP) course mappings.
•    Handle Medal and Prizes (M&P) matters.
•    Coordinate department activities, university and student club events to foster student engagement.
•    Manage Political Science major website.

Finance and Procurement
•    Handle invoices, financial claims, generating reports, withholding tax and budgetary matters.
•    Handle vendor quotation, raise purchase orders and goods receipt via ARIBA Smartbuy system and NUS Service Hub.
•    Handle job postings on the NUS Student Work Scheme (NSWS) system for hiring of student helpers/ research assistants.

IPSA-NUS Methods School
•    Main point-of-contact for annual IPSA-NUS Methods School for all payment matters.
•    Support the administration of the Continuing Education and Training (CET) programme, including course setups, registration, and facilities coordination.

Others
•    Department meeting minutes, commencement duties, Open House duties.
•    Ad-hoc duties assigned by the Deputy Heads and Admin Lead.

Qualifications

•    A good bachelor’s degree with at least 3 years relevant work experience, preferably in a higher education institution.
•    Excellent oral and written communication skills.
•    Strong organizational skills and high attention to details and accuracy in tracking and managing academic programmes.
•    Tact, discretion and diplomacy to work with a diverse group of faculty from varying cultures.
•    Highly self-motivated and capable of working autonomously, while fostering effective collaboration within a team setting.
•    Proactive and demonstrate creative, innovative and service-oriented approaches to problem solving.
•    IT savvy and proficient in Microsoft Office Applications (Word, Excel, PowerPoint and databases).
•    Experience in website design and illustration would be advantageous.
