About the Role

The Department of Geography at the National University of Singapore (NUS) is seeking for a dedicated Assistant Manager / Manager to join our administration team. The successful candidate will be responsible for providing comprehensive support to the department, ensuring smooth and efficient operations, for tasks including (but not limited to):

 

Human Resources

  • Work with respective HR Partners to facilitate the appointments and/or re-appointments of various employment schemes.
  • Facilitate the onboarding process for new hires, maintain and update HR records.
  • End-to-end support in the annual review process.
  • Monitor Promotion and Tenure cases and Mid-Term Tenure Advisory Report schedules and deadlines, track sabbatical leave applications, maintain records, and coordinate submissions.
  • Work with relevant departments to facilitate academic visits, providing support for travel, accommodation, per diem disbursement, withholding tax, and logistics coordination.
  • Manage ad-hoc responsibilities as required such as project involvements, attending to all related queries, student work schemes, other paid work in NUS, and peer reviews.

 

Administration and Secretariat Support

  • Plan and schedule department committee meetings, prepare and collate agendas and documents, liaise with Head of Department and Committee Chairs for meeting minutes, and disseminate finalized notes.
  • Manage the department email/account, review relevant emails, track important deadlines, identify urgent emails, and respond or forward them appropriately.
  • Provide administrative support to the Head of Department, including coordinating grant-related document endorsements, sending communications, and organizing staff-related events (if any).

Qualifications, Experience and Attributes

  • Degree or equivalent in Business, Management or a related field with minimum 3 to 5 years’ of relevant experience.
  • Ability to work independently and collaboratively with cross-functional teams and comfortable working in a fast-paced, evolving environment where creative problem-solving is required.
  • Ability to work under tight deadlines and juggle multiple roles and responsibilities effectively.
  • Strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
