Job Description
We are seeking an Executive / Senior Executive / Assistant Manager (Academic Programme Administration) to support the effective delivery and continued growth of the Master of Communication (MOC) programme. This is a 2-year contract position responsible for the end-to-end administration of the programme, encompassing outreach and admissions support, course and assessment administration, student records management, reporting, and programme completion processes. The role plays a critical part in ensuring that programme operations are efficient, accurate, and aligned with the University's academic policies and quality standards.
Key Responsibilities
This role offers the opportunity to work closely with students, faculty members, industry partners, and university stakeholders, contributing to the successful delivery, enhancement, and growth of a leading graduate programme.
Programme Planning, Outreach and Admissions
- Support outreach and marketing initiatives, including programme website updates, digital content creation, promotional materials, and information sessions, to attract high-quality applicants.
- Coordinate admissions activities, including application processing, interview scheduling, and the timely release of outcomes, ensuring adherence to academic calendar timelines.
- Support semester planning and readiness, including timetabling, venue arrangements, lecturer onboarding, enrolment coordination, and course registration.
Programme Operations
- Serve as the primary point of contact for student and stakeholder enquiries, providing timely and professional support.
- Partner with faculty members, adjunct faculty, and external lecturers to ensure the smooth delivery of courses and learning activities.
- Administer key academic processes, including student feedback reporting, assessment administration, marks processing, and the preparation of documentation for Board of Examiners meetings.
- Conduct pre-graduation checks and support programme completion and graduation processes.
- Prepare programme statistics, reports, and presentations to support decision-making and continuous improvement initiatives.
Department Support and Process Improvement
- Coordinate programme and departmental events, including orientations, information sessions, networking events, and other engagement activities.
- Serve as Secretariat to the CNM Industry Advisory Board and provide administrative support for meetings and committees.
- Act as webmaster for programme and departmental websites, including content planning, page creation, maintenance, and website enhancements.
- Develop digital content and marketing materials using tools such as Canva and Adobe Creative Cloud to support programme outreach and communications.
- Contribute to process improvement and digitalisation initiatives, including the development and maintenance of standard operating procedures (SOPs) and business continuity documentation.
- Undertake other duties and responsibilities as assigned by the Reporting Manager.
Qualifications
- A Bachelor's degree, preferably in Communications, Marketing, Business, Education, or a related discipline.
- At least 1 year of relevant administrative experience; experience in higher education, programme administration, communications, or website management would be advantageous.
- Excellent organisational, planning, and time-management skills, with strong attention to detail.
- Able to work independently and collaboratively in a fast-paced environment, managing multiple priorities and deadlines.
- Strong written, verbal, and interpersonal communication skills.
Proficiency in Microsoft Office applications. - Experience in digital content creation using tools such as Adobe Creative Cloud (e.g. Photoshop, Illustrator, InDesign) and Canva would be advantageous.
- Experience with website content management systems (e.g. WordPress) and basic web development technologies such as HTML and CSS would be an advantage.
- Strong visual communication skills with the ability to create engaging digital and marketing content.
