About The Role

 

The Department of Southeast Asian Studies, Department of Malay Studies and South Asian Studies Programme invite applications for the position of Executive/Senior Executive.

 

Reporting to the Department Admin Lead, the candidate will provide administrative support to three departments (Southeast Asian Studies, Malay Studies and South Asian Studies) in the Faculty of Arts of Social Sciences with a small team of administrators. This is an on-site position.

What You Will Be Responsible For

 

Your key responsibilities include but are not limited to the following:

 

1. Management of self-funding graduate programmes (SFP) and continuing education and training (CET) programmes

  • Administer applications and admissions process
  • Assist programme convenors with curriculum-related matters
  • Manage day-to-day operations of the programmes
  • Respond to queries from students and potential applicants
  • Coordinate outreach and publicity efforts to promote and increase awareness of the programmes
  • Provide support in launching of new programmes

 

2. Management of general academic matters

  • Coordinate course registration of all graduate programmes and continuing education and training programmes
  • Provide support in all curriculum-related matters for graduate research programmes
  • Manage class and examination scheduling for all undergraduate and graduate courses
  • Assist with examination-related matters for all undergraduate and graduate courses

 

3. Support for incident and crisis management

  • Ensure compliance with University’s requirements for safety & health in the conduct of department and student-related activities
  • Serve as fire warden/fire safety coordinator, and point of contact for department Care Team

 

You are also expected to perform other duties, and/or participate in regular and ad-hoc events/projects as assigned by the Reporting Manager, and support the HODs in the day-to-day operations of the Departments.

What We Are Looking For

 

  • A good bachelor’s degree in any discipline with a minimum of 2 to 5 years of relevant work experience, preferably in the Higher Education sector
  • Strong analytical and problem-solving abilities
  • Organised, meticulous, responsible, and resourceful
  • Adaptable to changes, enjoy challenges and able to manage the complexities of different department requirements
  • Proficient in Microsoft Office applications and familiar with social media platforms and WordPress
  • Possess excellent written and communication skills.
  • Good interpersonal skills with the ability to work tactfully and interact well with stakeholders (internal and external) at various levels from varying cultures
  • Proactive and able to work both independently and as a team player to build collaborative working relationships
