This role seeks an organised, meticulous and proactive Temporary Executive (Communications and New Media) reporting to the Senior Manager. Based in the Department of Communications and New Media, Faculty of Arts and Social Sciences, the incumbent will support smooth administration and operations in finance, procurement, and research matters, and contribute to departmental initiatives and process improvements. The role involves working closely with academic staff, students, colleagues, and external stakeholders to ensure high service standards and operational efficiency

 

The initial contract is for three months, with renewal subject to performance assessment.

Qualifications

•    Bachelor’s degree, preferably in Business Administration or a related field.
•    Demonstrated understanding of finance processes and principles, with the ability to interpret and work with financial data.
•    Excellent command of English, with the ability to write clearly and engagingly; strong attention to grammar, detail, and accuracy.
•    Resourceful, deadline-driven, and able to collaborate effectively with diverse stakeholders.
•    Self-initiated and proactive in learning.
•    Strong team player with good interpersonal and communication skills.
•    Competent in using design tools such as Adobe Illustrator and Canva.
•    Proficiency in Excel (e.g., pivot tables, charts)

Responsibilities

Reporting line

  • Reports to the Admin Lead and supports the Research Committee.

 

The incumbent will be responsible for the following

 

Research administration and events

  • Oversee research administration, including internal grants, events, and related initiatives.
  • Manage the CNM Spotlight Grant and Self-Financing Annual Grant end-to-end: issue calls for applications, compile submissions, coordinate with the Research Committee, issue approval notifications, and monitor grant administration
  • Plan and execute departmental research seminars and book talks across pre-, during, and post-event phases, including operations and administration (e.g., new/variation applications and related HR matters).
  • Lead the organisation of the CNM Distinguished Lecture Series, including administration, operations, budget planning, programme scheduling, and logistics.
  • Collate and submit Principal Investigators’ grant applications to the Head of Department for review and approval; compile grant progress and final reports for HOD review and approval.
  • Coordinate the development and production of the CNM research report.
  • Collaborate closely with internal and external stakeholders on research-related administration.

 

Department administration

  • Serve as the Department-Appointed Buyer; advise staff and facilitate purchase order and non-purchase order requests.
  • Oversee and manage monthly salary processing for part-time staff.
  • Support financial year-end closing activities, including budget accruals and reporting.
  • Consult Principal Investigators on fund utilisation, as required.
  • Support Department Conference Fund management in coordination with the conference administrator.
  • Conduct the annual document management exercise for archival or disposal in accordance with the document retention policy.
  • Assist the Head of Department with meeting scheduling and management of the CNMSEC account.
  • Provide administrative support to the Annual Performance Review Committee.
  • Provide support for department-level events and initiatives.

 

Other duties

  • Perform other duties as assigned by the Reporting Manager and/or the Research Committee.
