Job Description
This role is crucial to assist the Head of Department in ensuring the smooth running of the day-to-day operations on but not limited to faculty staff members, seminars, examinations and teaching administration, grant proposals, office workflow, appointments and general correspondence.
- Assist the Head of Department in ensuring the smooth running of the day-to-day operations
- Provide secretarial and administrative support to the department and faculty staff members
- Coordinate module mapping requests
- Assist in the recruitment of student assistants and/or contingent workers
- Provide events and logistical support for the department’s seminars, workshops and classes
- Procure office equipment and maintain the office inventory
- Maintain the faculty members’ publications and the department’s webpage
- Other administrative matters as duly assigned
Qualifications
- A recognised University degree
- Relevant working experience with significant exposure in a similar capacity, preferably in tertiary institutions
- Strong written and oral communication skills, along with a sense of initiative, commitment, and self-driven
- Possess good interpersonal and time management skills
- Meticulous, with keen attention to details
- Adaptive to change with a positive work attitude and a good team player
- Proactive in problem-solving
- IT savvy, proficient in Microsoft Office applications (Excel, PowerPoint, Outlook and Word Document) and procurement system (e.g. Sesami) will be an added advantage
(Appointment job grade will commensurate with the selected candidate's experience)
