Management Assistant Officer - Events (Centre Shared Services, Faculty of Law)

Job Purpose

To provide social media management support and event management support to the Centre for Asian Legal Studies (CALS) and the Centre for Legal Theory (CLT) for various types of events e.g. conferences, symposiums, seminars, distinguished lectures, workshops, book launches etc in order to facilitate the achievement of both Research Centres’ desired outcomes in the Faculty of Law.

Duties & Responsibilities

The staff will be part of the Centre Shared Services team, providing events management support for various types of events e.g. conference, seminars, distinguished lectures, workshops, book launches etc. This includes supporting the Centre Manager and Centre Directors in managing:

  • event logistics, 
  • event conceptualisation & publicity planning, 
  • collateral design (in consultation with PI), 
  • event registration, 
  • publicising and managing submissions for Call for Papers/Abstracts, 
  • facilitating CPD point applications, 
  • event microsite preparation (if required), 
  • dissemination of online/offline event publicity, 
  • logistics management (e.g. directional signages, backdrop, landscaping, programme booklet, name badges, name stands, pre-arrival kit/emails, welcome packs/conference goodie bags, speakers bios, slides, papers, etc), 
  • feedback form, 
  • food & beverage arrangements, 
  • transportation arrangement, 
  • AV/IT venue set-up, 
  • accommodation for participants & speakers, 
  • participant management, 
  • post-event follow-up of administrative matters including expenses tracking and post-event reports and any other duties as assigned by the Centre Manager and Centre Directors.


  • Preferably a Diploma holder with at least 3 to 5 years of related working experience in events management or in the hospitality/service industry. Those with other qualifications AND with relevant work experiences are also welcome to apply. 
  • Proactive and able to work independently with minimal supervision.
  • Service-oriented, meticulous with a willingness to learn, and a team player. 
  • Able to work efficiently under time-sensitive circumstances. 
  • Strong organisational and time management skills. 
  • Possesses a pleasant disposition with good written and verbal communication skills to engage with internal and external stakeholders. 
  • Proficient in MS Office, Wordpress, social media posting and hosting of webinars.
