Job Description

Department of Architecture (DOA)
I.  Grant administrator for research projects matters (e.g. grant claims/reporting, human resource admin for research purpose, including visiting scholars for research). Provide advisory to Principal Investigators (PIs) (e.g. NUS policies and procedures, terms & conditions of grants) 

II. Programme administrator for Postgraduate Coursework and Postgraduate Research
•    Support the admission exercise (verifying applicants’ qualifications, coordinating admission interviews and admission outcome and collection of acceptance fees from successful applicants)
•   Manage pre-exam preparation and post-exam processing which includes qualifying exams, Research Thesis examination, exam scheduling, post exam processing (marks checking and processing, checking of reports, exam result appeals, special consideration, academic awards and graduation matters. Work closely with the Programme Director in managing the programmes’ end-to-end administration including outreach, admission and other related portfolios 
•   Provide administrative support to students and faculty for the day-to-day running of the programmes throughout the student lifecycle
III.  Curriculum and Policies Implementation
•  Support Deputy Heads and Programme Directors in managing curriculum changes and new courses, and ensuring relevant materials (e.g. webpage, NUS bulletin, course handbook) are updated on timely basis
IV.  Other duties
•   Respond to queries from staff, students, prospective applicants and stakeholders. Promote positive customer service practices and suggest ways to continuously improve students’ experience. Establish Service Level Agreement (e.g. attend and close queries within 2 working days)
•   Assist with ad-hoc requests for documents and certification from students and stakeholders
•   Compile and analyse data, and prepare reports for management and internal/external stakeholders
•   Assist with the documentation of standard operating procedures and review contingency processes to ensure the smooth operation of the Department 
•   Assist with other tasks and duties as assigned by the Administrative Team Lead

 

Centre for Sustainable Asian Cities (CSAC)
•   Provide full administrative support include HR, financial, procurement and administrative matters related to research projects and events
•   Be the point of contact for the centre

Qualifications

•    Bachelor’s degree in any discipline
•    Minimum 3 years of relevant work experience.
•    Experience in Human Resources and Finance will be advantageous.
