Job Description
The incumbent will be part of a dynamic team in the Undergraduate Programmes section of the College of Design and Engineering (CDE) Dean’s Office. The team is responsible for managing and/or overseeing academic administration processes for undergraduate students, from admissions to graduation.
Primary Duties:
1. Examination logistics
• Manage logistical preparation for CDE exam venues.
• Coordinate with movers to manage venue set-up for CDE exam venues.
• Conduct venue inspection before and during examinations period.
• Attend to issues encountered by Department colleagues on-site.
• Assist with examination audit duties.
2. Undergraduate Teaching Opportunities Programme (UTOP)
• Manage application and course registration end-to-end process.
• Maintain website information and prepare email communication to students.
• Issue contracts to students.
• Collate and check final grades and marks from supervisors.
Secondary Duties:
3. Course registration and class timetabling
• Provide first line support for incoming phone calls and email enquiries from students.
• Support course registration and class timetabling main I/C in other duties as assigned.
4. General office support and administration
• Provide first line support for incoming phone calls and walk-in queries.
• Coordinate transcript archival and collection for students returning from student exchange.
• Assist with overseas mailing of documents for students embarking on student exchange.
• Check and collect mails.
• Purchase office and pantry supplies.
• Service printers.
5. Others
• Provide support in official department-wide events.
• Support digital transformation initiatives.
Qualifications
• Polytechnic Diploma holders preferred.
• At least 2 years of working experience; candidates with no experience can also be considered.
• Organised and meticulous.
• Able to work effectively in a team.
• Comfortable to use and learn new digital tools.
• Experience in/exposure to the following will be an advantage, though not a requirement:
- Office 365
- PeopleSoft Campus Solutions
- Survey software such as Qualtrics
