Job Description
1 Graduate Certificate programmes:
• All administrative tasks – marketing, application, admission, registration, enrolment, graduation.
• Assist with class scheduling together with student cards’ printing and distribution.
• Prepare annual budget, manage expenses, prepare and submit SSG claim forms.
• Ensure that SSG’s requirements are met through managing the programmes’ courses and submitting information/documents on TP Gateway.
• Prepare Letters of Engagement and submit OPWN payment requests for lecturers.
• Assist with payments to external advisors/speakers.
• Plan, organize, and assist with events in relation to the programmes.
2. Training Employment Pass (TEP) applications and Academic Visitor administration and processing.
• Academic Visitor paperwork facilitation and application.
• Assist with TEP applications: request for required documents, ensure that the documents are in order, issue Invitation Letters, submit TEP request with required documents.
• Assist with TEP issuance and receiving of TEP card.
• Assist with on-boarding matters for TEP visitors: issue temporary access card, create NUS visitor email account, issue letters for bank account opening purposes.
• Assist with TEP cancelation and off-boarding matters.
3. Summer Programme (overseas study field trip):
• All administrative tasks – application, admission, safety briefings, application for Awards of financial funding.
• Be the point of contact for students’ parents for the duration of the field trip.
• Assist with meetings/events in relation for the programme.
4. Non-Graduating Research programme:
• Answer queries on the programme.
• Advise and assist the applicants with preparation of documents.
• Obtain necessary approval for the applications. Indicate the outcome for the applications in NUS Online Application Portal.
5. Other office duties:
• Change of nameplates for Academic staff’s offices.
• Manning the counter (rotational)
• Collecting mails (rotational)
6. Any other ad-hoc duties.
Qualifications
• A recognised diploma holder with relevant working experience in an education institute or environment preferred.
• Demonstrates proactive behaviour, strong teamwork skills and the ability to handle multiple tasks independently.
• Proficient in Microsoft Office applications, especially on Excel
• Strong organizational skills and problem-solving attitude
• Effective oral and written communication skills.
• Hardworking, meticulous, resourceful, and reliable.
• Open to fixed term contract, 2-year (Initial).
