Job Description
1. Governance and Administrative Framework:
• Support the Centre Director in setting up the Centre's governance framework, policies, and administrative functions.
• Develop and implement corporate functions, committees, and governance structures.
2. Day-to-Day Management:
• Oversee daily administrative operations including budget management, procurement, HR, communications, and branding.
• Manage the Centre’s administrative team and liaise with NUS central offices.
3. Corporate Services, Finance, HR, and Procurement:
• Establish the Centre’s administrative structure and operational processes.
• Recruit and manage the Centre’s administrative team as it expands.
• Provide administrative support for procedures, approvals, and project execution.
• Develop and manage operating budgets and prepare analysis for budget recommendations.
• Prepare reports and documents for the Centre Director, committees, and partners.
4. Strategic Planning:
• Collaborate with the Centre’s Director and management on long-term plans and sustainability.
• Forecast manpower needs and budget requirements.
• Plan for the optimal use of the Centre’s space.
• Support fundraising efforts and strategic initiatives.
5. Research Administration:
• Oversee grant calls and documentation for grant applications, risk assessments, and grant virements.
• Monitor research progress, ensuring deliverables and milestones are met.
• Set up grant accounts and handle related administrative requirements.
6. Communication, Outreach, and Marketing:
• Support the Centre’s outreach and communication efforts through publications, presentations, media, websites, and social media.
• Serve as the primary contact for the Centre’s communication channels.
• Organise seminars and meetings with partners and stakeholders.
7. Fundraising and Donor Relations:
• Assist the Centre Director in fundraising efforts and event organization.
• Manage donor relationships and donation tracking.
• Support the Centre Director in fulfilling reporting obligations related to donations.
8. Secretarial Duties:
• Manage the Centre Director’s schedules and meetings.
• Organise meeting logistics, including venues and meeting papers.
• Serve as the meeting secretary, handling note-taking and circulation.
• Support the Centre Director with travel arrangements and CONCUR claims.
• Manage the Centre’s communication mailbox and file-keeping.
Qualifications
• Degree in business administration, finance, humanities, or a related field. (Master’s degree would be an asset).
• More than 5 years of experience in administrative management, preferably in a civil service or academic environment, with demonstrated experience in multi-stakeholder project management.
• Strong organisational and interpersonal skills.
• Excellent writing and communication abilities.
• Proficiency in MS Office Suite (CRM, Word, Excel, PPT, etc.).
• High level of resilience, professionalism, and focus in handling challenges.
• Ability to work as a team player under tight deadlines and manage multiple responsibilities.
• Interested in the work of local city-planning, geriatric care, and social support agencies.
