Job Purpose
The Admin Lead is tasked with overseeing and managing various aspects of business operations, processes, initiatives, and resources within the department. The primary responsibility is to deliver integrated and efficient administrative services, aligning with the College’s strategic goals and objectives and the University’s policies and processes. Additionally, the Admin Lead provides secretarial support to the Department Management Committee.
Duties & Responsibilities
• Provide leadership and guidance to an Administrative Team of 11 across various departmental operation matters: HR, Academic Affairs, Finance, Procurement, Grant Management, and Curriculum.
• Oversee budget planning and monitor the utilization of the department’s budget.
• Manage the department’s endowments and their effective utilization.
• Standardize the cost of the self-funded program, ad-hoc symposiums, and conferences.
• Administer faculty affairs, including organizing the annual overseas recruitment at the AIChE Conference and managing executive recruitment, onboarding, and off-boarding.
• Coordinate annual appraisal, mid-term tenure review, promotion, and tenure and re-appointment.
• Collaborate closely with the Department’s Management Committee to enhance the Department’s visibility through activities such as with the Visiting Committee, Consultative Committee, and organizing Outreach and Alumni events.
• Lead the Department’s strategic initiatives by drafting proposals, organizing programs, and liaising with internal/external strategic partners and stakeholders, such as facilitating gift naming opportunities.
Job Requirements

• Posses a University degree in any discipline with 10 years of working experience, preferably in academic and office admin support
• Good communication and interpersonal skills
• Positive work attitude, self-driven and with a team-oriented mindset
• Able to multitask and enjoy working on a wide range of job scopes.
• IT savvy and proficient in MS Office applications
