Job Description
Programme & Scholarship Administration
• Provide administrative support for the scholarship selection and admissions processes, including documentation, scheduling, and records management.
• Support the administration of scholarship disbursements and routine finance-related matters such as claims processing and tracking, in accordance with University guidelines.
• Maintain accurate programme records and data repositories to support efficient operations.
Student & Programme Support
• Support Design & Engineering (D&E) Scholars in administrative matters to ensure timely completion of programme requirements.
• Assist scholars with enrolment into programme-specific courses and related administrative procedures.
• Provide procedural guidance on academic planning processes and coordinate with academic mentors or relevant offices where appropriate.
• Support the administration of scholars’ projects and enrichment activities through coordination and documentation.
Events, Outreach & Logistics
• Coordinate and manage administrative and logistical arrangements for programme events, including orientation activities, outreach talks, briefings, and seminars.
• Liaise with internal and external parties to facilitate event execution.
• Support outreach activities, including coordinating arrangements with pre-university institutions.
• Prepare and update outreach and publicity materials using approved templates and content.
Communications & General Administration
• Support routine communications with scholars, academic mentors, alumni, and administrative stakeholders.
• Update the programme website and social media platforms with approved content.
• Provide administrative and financial support for D&E Scholars' student club activities, including claims processing and budget tracking.
• Perform other administrative duties as assigned by the programme leadership to support day-to- day operations.
Qualifications
• Bachelor’s degree in Science, Technology, Engineering, Mathematics (STEM), or an equivalent discipline is preferred.
• Preferably 1 to 3 years of relevant administrative or programme support experience; applicants with relevant internship experience may also be considered.
• Experience in an academic, education, public sector, or structured organisational environment is an advantage.
• Strong organisational and coordination skills, with the ability to manage multiple tasks concurrently.
• Good written and verbal communication skills, and the ability to interact professionally with students and staff.
• Proficient in Microsoft Office applications; comfortable working with administrative systems and databases.
• Meticulous, dependable, and service oriented, with the ability to work independently within established guidelines.
