Job Purpose
Centre for Computational Social Science and Humanities (CSSH) is seeking a Executive to join in the operations of the new centre. This role directly supports core strategic functions, including managing CSSH grants and budget; communications and meetings for the management team including with external stakeholders; hiring of research staff and interns; procurement of equipment and services; events, workshops, seminars; CSSH membership and seed grants; as well as website and social media. The centre's success hinges on efficient execution of these responsibilities.
Job Description
- Managing CSSH budget, accounts statements, process claims, and expense reports i.e., managing funding processes and ensuring compliance with grant requirements;
- Handling communications on behalf of the management team with CSSH members, international advisory board, steering committee, visitors and others. This includes drafting correspondence and managing inquiries;
- Arranging CSSH meetings, including scheduling, venue booking, online, hybrid registration;
- Arranging publicity and logistics for workshops, seminars, masterclasses and other CSSH events;
- Coordinating recruitment and onboarding of research staff and processing part-time or intern work applications and claims, maintaining personnel records;
- Coordinating the visits of visiting professors and visitors including travel arrangements and processing reimbursements;
- Managing the procurement of goods and services, ensuring that goods are delivered and processing payments, monitoring fixed assets;
- Managing the CSSH seed grant call, announcement, review process, decision, accounts set up, reports, variations;
- Managing CSSH grants obtained, including flagship project;
- Updating the centre’s social media accounts and website;
Qualifications
- Bachelor’s Degree with minimum 3 years of working experience or Polytechnic Diploma with at least 5 years of work experience in a fast-paced, dynamic environment
- Good interpersonal communication and writing skills, initiative and resourcefulness, attention to detail,
- Ability to self-learn, understand workflows, and multi-task in a fast-paced environment
- Able to handle confidential information with discretion
- Competent in IT applications such as Zoom, Doodle, MS teams, MS forms, Dropbox, etc.
- Employment type: 1 year contract
