Job Purpose

 

The NUS School of Computing (SOC) traces its roots back to the Nanyang University Department of Computer Science that was established in 1975.  Since then, SOC has developed into one of the leading computing schools in the world, with faculty members who are both internationally recognised researchers and inspiring teachers.

 

Today, SOC offers undergraduate and graduate degree programmes across the full spectrum of the field of computing, including Computer Science, Information Systems, Computer Engineering, Business Analytics and Information Security, as well as specialisations in emerging areas of importance such as artificial intelligence, fintech, blockchain, analytics and security.

 

SOC Advanced Computing for Executives (ACE) unit was established to help business leaders, managers and professionals learn about emerging technology and how to harness them for digital transformation and business competitiveness.  ACE drives the expansion of SOC’s lifelong learning offerings in a concerted and strategic way and aims to be the premier educator and thought leader in advanced computing and information technology.

 

We are looking for suitable qualified candidates to fill the full-time position of Executive (Programme Administration).

 

Reporting to Associate Director (Quality & Programme Management), the incumbent shall assist in ensuring efficient operations and the seamless end-to-end administration of our programmes. 

 

Job Responsibilities

 

  • Working with Instructors and vendors on the scheduling.
  • Responsible for coordinating all events/programmes administration and logistics, including activities relating to participant registration, instructor/class confirmation, venue/classroom setup, food catering and related parties liaison to ensure successful execution of each event/programme.
  • Track applications and manage all invoicing/payment matters with respect to participants and service providers.
  • Ensure supporting documents adhere to grant requirements and regulations.
  • Prepare and upload the supporting records onto TPGateway and endure the submission adhering to the funding agency requirements and deadlines.
  • Log cases (if any) to the funding agency and track the cases till closure.
  • Liaise with Finance on grant-related matters, e.g. grant disbursement.
  • Issue e-certificates to qualified participants.
  • Compile and generate programme feedback reports and statistics, provide and present accurate grant-related reports and updates.
  • Manage compliance with Information and Data Management requirements.
  • Support the Systems Management team on grant automation projects.
  • Attend to email and phone enquiries.

Job Requirements

 

  • A Bachelor’s degree in any discipline from a reputable university.
  • Preferably 2 to 3 years of related working experience.
  • Good interpersonal and communication skills.
  • IT savvy and proficient in MS Office applications.
  • Excellent coordination and organization skills, with a customer service mindset.
  • Independent worker who is able to multi-task with a keen sense of urgency.
  • Strong team player, resilient, resourceful with good problem-solving and critical-thinking skills, and thrives in a fast-paced, results-oriented and ambiguous work environment.
