Job Purpose
The Examination Unit in the Office of Undergraduate Studies is seeking a suitably qualified candidate to provide administrative and operational support for examination-related processes and student services, ensuring the smooth running of undergraduate programmes.
Job Description
The incumbent will be part of the examination team to handle examination processing/logistics related processes to ensure smooth running of the programme as well as services for students
Examination Logistics Process. This includes (but is not limited to):
- Ensure all exam requirements and logistics arrangements (setup of venues, transport arrangements, assessment question papers printing, etc.) are executed smoothly, in compliance with the University’s regulations and in a timely manner.
- Support and advise students on course assessment-related matters (including alternative requirements for students with Accessibility Support Accommodation).
- Liaison with course coordinators on the readiness of question papers for printing requests as well as special arrangements for proctoring online assessments.
- Support the Manager for the appointment of examiners and scheduling of invigilators for examination conduct and related processes for undergraduate courses.
- To plan and update the Exam Timetabling for each Academic Year.
- Assist in the Deanery examination audit.
- Back up other team members on exam-related processes.
- Support the process for the assessment papers' archival.
General Student Queries. This includes (but not limited to):
- Assist with students’ general queries, advise undergraduate students on course requirements, updating of student’s plan/sub-plans course
Other Special Assignments
- Support undergraduate event management, such as University/Faculty level events: Open house, Commencement duties, examination conduct, Programme Information Sessions, as well as other ad hoc special projects assigned.
- Administrative tasks assigned by the Vice Dean (Undergraduate Studies Office) or senior administrators.
Qualifications
- Bachelor’s Degree holder or Polytechnic Diploma holder, preferably with work experience in a fast-paced, dynamic environment.
- Demonstrate initiative and good interpersonal communication skills.
- Good writing skills and experience with web management.
- Analytical, resourceful and energetic.
- Able to multitask and deliver under tight deadlines.
- Strong sense of customer service.
