Job Description

 

You will be the administrative backbone of the Student Life Office, coordinating meetings and documentation, supporting development and gift processing, administering student and alumni awards, handling financial award processing, and providing administrative and logistical support for events. You will work closely with colleagues across the School, central units, students, alumni, and external partners, while maintaining compliance with NUS policies and data protection requirements. The role also includes providing general administrative support for day-to-day office operations and undertaking ad hoc duties as assigned.

Key Responsibilities

 

Awards Administration (Student and Alumni)

  • Administer Student Awards and Alumni Awards, including end-to-end process coordination and communications with all stakeholders (publicity, applications, selection, award ceremonies, reporting).

 

Financial Awards and Claims Processing

  • Process financial awards and bursaries accurately and in compliance with applicable guidelines.
  • Support finance and procurement tasks, including purchase requisitions/POs, purchases, vendor liaison, payments, and claims processing.
  • Provide administrative and logistical support for SLO events, including procurement, coordination of venues, vendors, materials, registrations, communications, on-site operations, and post-event reporting.

 

Data Management & Compliance

  • Maintain accurate databases, trackers, and reports for awards, events, and relevant cases.
  • Ensure PDPA compliance, data hygiene, and proper maintenance of documentation for audit and reporting purposes.

 

Secretariat, Stakeholder Liaison & General Administration

  • Serve as a point of contact for students, alumni, faculty, and partners; manage and triage enquiries and provide timely support.
  • Provide secretariat support including meeting coordination, agenda preparation, minute-taking, action tracking, and follow-ups.
  • Maintain calendars, records, and documentation repositories to support effective office operations.
  • Provide general administrative support for the unit’s day-to-day operations, including coordination of internal processes and documentation.
  • Undertake other administrative duties and special projects as assigned in support of office and school needs.

Requirements (Qualifications and Experience)

 

  • Diploma or Degree in any discipline; at least 2 years of relevant administrative experience (for Senior Executive level).
  • Excellent command of English with strong writing skills for minutes, briefs, and communications.
  • Meticulous, well-organised and able to manage multiple tasks under tight deadlines.
  • Resourceful, energetic, adaptable, and able to work independently and in teams.
  • Strong professionalism, customer service orientation, and ability to maintain confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with SAP/S/4HANA or finance/procurement systems is an advantage.
