Job Description

This position supports the programme management function in the new MSc in Sustainable and Green Finance programme. This programme is helmed by NUS Business School (MSc Programmes Office) and the new Sustainable and Green Finance Institute (SGFIN).

Overall Programme Management

- Ensure that the programme runs smoothly and effectively, keeping the needs of the students in mind, the integrity of the programme and at the same time, aligning with the SOPs set for the rest of the MSc programmes
- Deliver service excellence in assisting students in the programme including all module-related matters, all aspects of experiential learning component, ad-hoc academic counselling and student wellness matters
- Keep data on student demand and feedback on modules to advise the Associate Directors (AD) and MSc office for constant monitoring and review of the programme offerings

Class Timetable Scheduling

- Coordinate and de-conflict between AD, Business School (BIZ) departments and faculty members on module offerings, schedules and checking through module outlines to ensure standardization
- Pre-empt and prepare instructors for different modes of teaching, feedback to students, grading etc
- Format timetables and module outlines and disseminating to the students in a timely manner
- Mount modules on CMIS Timetabling System according to Registrar Office (RO) timeline
- Coordinate between the programme offices in BIZ on classroom allocations
- Update the respective BIZ departments of semester timetable for teaching workload allocations

Module Registration

- Mount new modules (working with new instructors, ADs and BIZ departments and seeking BGS approvals), etc.
- Data Preparation for ModReg System: Set up the workload in the system, mount the modules in the system for students to register;
- Prepare user guides and briefing slides for new cohort of students to better understand the system
- Register students into the module (if they are unable to do it themselves)
- Adjust module quota and coordinate with various parties (incl. RO, Academic Director, BIZ departments and instructors, and students etc) during the Module Registration exercises
- Process students’ appeals via ModReg system and email, even after ModReg Round 3
- Deal with students queries/complaints, etc.
- Update BIZ departments of class enrolment for processing of teaching workload/payments and teaching support fund
- Provide BIZ instructors the class enrolment list, student profile documents, teaching and assessment guidelines before the start of each semester

Student Record Management

- Track students’ workload and progress on the EduRec Programme/Plan page individually
- Communicate with and process individual students’ requests for Leave of Absence, withdrawals, etc
- Apply for graduation for students in the system and verification of Chancellor’s List of Conferred Students to ensure zero discrepancy for individual students
- Coordinate with RO in case of any discrepancy and exceptional student requests
- Coordinate with ADs on mid-term student feedback sessions, consolidate and analyse survey results and monitor follow-up actions
- Update Distribution List with returning LOA students
- Send reminders/updates to students regarding various programme timelines like ModReg schedules, mid-term student feedback, graduation, student pass validity etc

Faculty matters

- Prepare BIZ faculty’s teaching appointment letters for each semester
- Process BIZ faculty members teaching payments at the end of semester; coordinate with the HR and finance departments where necessary
- Provide faculty support to NUS and IT systems including LumiNUS (teaching platform), Integrated Marks Management System (IMMS), student and classroom management (CAS) matters
- Coordinate between the BIZ faculty members and their teaching assistants (if any) on classroom support and students’ movements

Exam processing

- Apply for access to the Integrated Marks Management System (IMMS)
- Track timely upload of marks by BIZ faculty members
- Check marks uploaded and ensure zero discrepancy
- Compile the marks reports for the review by MSc Programmes Director, Academic Director and HOD
- Prepare Board of Examiners’ report
- Process students’ requests e.g. Special Consideration and appeals for results review

Student Feedback

- Data Preparation for the Student Feedback System
- Compile feedback reports for MSc Programmes office and Academic Director

Event Management and Liaison

- Work closely with the other units within the MSc Office on office projects and events
- Any other duties as assigned by the Academic Director/MSc Programme Director/Associate Director


• A Bachelor degree from a reputable institution, with at least 5 years of relevant working experience in managing academic programmes within tertiary institutions
• High level of written and oral communication skills
• Experienced, confident and effective working in cross-cultural settings
• Meticulous with an eye for detail and keen appreciation of good documentation
• Able to manage multiple and competing tasks/deadlines well, and with a high degree of accuracy
• Team player with good combination of high intelligence, emotional and cultural quotient
• IT savvy, with good knowledge in Microsoft Office Applications
