Job Description

Reporting to the Director of CA2DM, the Admin Lead is responsible for the day-to-day management of CA2DM administrative operations, including HR, Finance, IT support, Communications and office facilities management.

 

Key aspects of the role includes:

CORPORATE SERVICES AND STRATEGIC PLANNING

  • Manage and direct CA2DM admin team to support the Centre’s operational processes with proactive, creative and effective co-solutioning with NUS central offices (HR, Finance, Procurement and IT).
  • Strategize with CA2DM director and senior management on the Centre’s plans and directions, to ensure the long-term sustainability of CA2DM current RDI - Research, Development & Innovation - capabilities.
  • Provide administrative expertise to guide, mentor and support scientific officers and staff assigned to CA2DM programs on procedures, seeking appropriate input and approvals from departments/units, and in strategic alignment with CA2DM’s objectives.
  • Lead to ensure the successful execution of the day-to-day/transformation projects by managing a live portfolio of transformation projects in line with CA2DM’s objectives.
  • Propose and manage core operating budgets, and prepare necessary analysis to support budget recommendations; conduct regular reviews of budget utilization for timely adjustments where needed
  • Fund management of Industrial partnerships and projects.
  • Prepare reports and associated documents required by the grantor, board, director, university, auditors, and partners, to communicate status of CA2DM and site-specific resources or as and when required.

RESEARCH AND TRANSLATION

  • Ensure the necessary documentation for grant applications, risk assessments and grant virements as required for assigned projects and that these are systematically tracked.
  • Partner project leads/PI to monitor progress of the research and operations, ensuring deliverables and milestones are met and timelines stay on track. Communicate project status to CA2DM director and senior research leads.
  • Manage the preparation and submission of funding/quarterly/annual reports where needed.
  • Support the crafting of agreements with industry partners and consultants.
  • Support the Centre in tracking project outcomes and deliverables.

COMMUNICATIONS, OUTREACH AND MARKETING

  • Oversee the outreach and communication effort of projects' stakeholders/partners of publications, presentations, inventions. Interface when necessary with the central NUS Comms teams.
  • Partner colleagues in the design or refine business development strategies, including marketing, business development and application development templates, etc.

 

CAPABILITY BUILDING

  • Support CA2DM in implementing best practices and promote open innovation and creative thinking throughout the Centre.
  • Recommend and schedule training needed to prepare CA2DM’s staff population to utilize new tools, systems and processes during the transformation phase.
  • Support the strategic staff recruitment.

 

Perform other job-related duties as assigned.

Qualifications

  • Degree in business administration, accounting or related discipline (a masters would be considered an asset).
  • 10+ years of related administrative experience, of which at least 5 years in a senior general management role (previous positions in academic environments and deep science fields would be a plus).
  • Demonstrated multi-stakeholder project management experience.
  • Ability to handle complex, ambiguous and challenging situations and comfortable with change in a fluid environment within an evolving organization.
  • Keen eye for details.
  • Familiarity with project management resources and tools.

  • General knowledge of local funding bodies and grant regulations.
  • Must have an advanced application of MS Office Suite (CRM, Word, Excel, PPT, etc).
  • Ability to lead effectively a team and interface with multiple stakeholders.
  • Hands-on, analytical, empathetic, creative, passionate professional committed to ongoing progress.
  • Inclusive and a genuine team player, who avoids self-promotion.
  • Adhere to high ethical standards.
