Management Assistant Officer, Department of Surgery (1-year contract)

Job Description

Job Purpose:

The appointee will act as a first point contact to deal with incoming correspondences and assist the study team in execution of day-to-day operational procedures and administrative tasks for the research programme

Duties & Responsibilities

  1. Plan and manage research participants’ appointments including tracking of registration form, contact participants and schedule for appointments
  2. Perform data monitoring and checking on collected data for completeness and accuracy; Compile data and maintain database for analysis
  3. Maintain current and updated documentations and records according to the specific guidelines for audits and inspections
  4. Obtain PI’s schedule and prepare meeting agenda for approval; Prepare presentation slides and be responsible for minutes taking during meeting; Circulate the meeting minutes to attendees
  5. Assist with project procurement process including liaising with external vendors, obtaining quotation, submitting purchase order request etc. Process claims submissions after receiving goods and services; assist study team in other project-related claims such as transportation claim
  6. Support the management team on other ad-hoc duties as and when necessary

Qualifications

  • Diploma in Life Science, Business, Accounting, or any relevant disciplines
  • Preferably have passion in research and/or relevant experience. Fresh graduates welcome to apply.
  • Ability to manage highly confidential information with discretion and integrity
  • Flexibility and willingness to work simultaneously on a wide range of tasks and projects
  • Able to prioritize effectively, well organized and accomplish assignments on time
  • Excellent team player, positive attitude with commendable work ethics, proactive and able to work independently
  • Excellent interpersonal skills and able to communicate effectively
  • Good verbal & written communication skills
  • Possess strong sense of commitment
  • Knowledge of MS office software
