Job Description

The Office of Alumni Relations’ (OAR) mission is “to nurture mutually beneficial and lifelong relationships with alumni and engage them along NUS’ aspirations”. The Office is the chief data custodian of more than 340,000 NUS alumni and this is managed in the Blackbaud Customer Relations Management (BBCRM) by the Information Management (IM) Team.  

Duties and Responsibilities

Advancement 

The team provides holistic stake of all alumni cultivation and engagement activities through the alignment of the IT/IM roadmaps and framework, and the constant evaluation and implementation of IT channels and initiatives. The team strives to come up with solutions for more efficient and streamline business process. 

  • Assist in the planning and development of divisional roadmap of all existing and new IT initiatives including but not limited to alumni website, mobile applications, database, email and various alumni and event support systems. 
  • Work with stakeholders, system integrators and NUS IT to ensure effective and efficient roll-out of new initiatives and support system enhancements to improve operations. 
  • Assist in vendor management and be involved in the submission of system design specifications, implementation and user testing. 
  • Provide advice on available systems (both software and hardware) to support all alumni cultivation and engagement activities. 
  • Work with stakeholders, NUS IT, NUS administrative departments, alumni representatives in Faculties/Schools and vendors on data, systems and operational issues and security. 

Information Management 

The focus of IM team is the ability of organizations to capture, manage, preserve, store and analyse alumni information. The team ensures that accurate and up-to-date data is available to those who need it, and assists users to make quicker and better-informed decisions to deliver alumni information to the right people at the right time and place. 

  • Managing master data, including creation, updates, and deletion. 
  • Managing users and user roles. 
  • Provide quality assurance of imported data 
  • Processing confidential data and information according to guidelines. 
  • Commissioning and decommissioning of data sets. 
  • Helping develop reports and analysis. 
  • Training end-users on new reports and dashboards. 
  • Providing technical expertise in data storage structures, data mining, and data cleansing 

Operation and Support 

The IM team manages data management policies, data updates and IT assets, as well as collaborating in projects on application implementations for alumni. The team also manages current IT platforms including the NUS alumni web system (AlumNET) – the marketing and publicity channel for alumni events, news and online information for alumni, the NUS Lifelong Email, and the mobile applications. These systems require daily maintenance checks and support to ensure data integrity and security. System configurations and the day-to-day IT operational helpdesk support are required to cater for engagement needs. 

  • Provide assistance in the safeguarding of all alumni information and data. 
  • Ensure data confidentiality and policy compliance on all IT systems, platforms and equipment. 
  • Assist in developing OAR guidelines and standard operating procedures and ensure that all OAR staff adhere to institutional-wide IT and data protection, and management policies. 
  • Handle requests from NUS Data Protection Office 
  • Assist all other OAR functions and University events as and when required. 
  • Involve in University-wide IT initiatives and projects that will benefit alumni 
  • Handle Alumni IT systems related tickets from Helpdesk 

Qualifications

  • Recognized degree in Business IT, Computer Science or related disciplines with relevant working experience in system enhancement, design specifications, implementations and operations. Fresh graduates are also welcomed to apply. 
  • Experience in Data Analytics and knowledge in administering and managing CRM would be an added advantage. 
  • Meticulous team player with strong analytical and problem-solving skills, and ability to understand business/user needs and negotiate with suppliers 
  • Ability to operate effectively, multi-task in a fast-paced environment and work under pressure with accuracy and dedication. 
  • Good command of English in oral and written communication to liaise with internal and external stakeholders clearly and professionally 
  • Work experience as a data analyst or in a related field. 
  • Ability to work with stakeholders to assess potential risks. 
  • Ability to analyse existing tools and databases and provide software solution recommendations. 
  • Ability to translate business requirements into non-technical, lay terms.
