Executive/Senior Executive, Centre for Biomedical Ethics (2-year contract)

The Role

The Centre for Biomedical Ethics (CBmE) was established in September 2006 in the Yong Loo Lin School of Medicine through a generous gift by the Chen Su Lan Trust. We work to develop understanding, capacity for good judgement, and sound ethical practice in the context of healthcare provision, biomedical science, and health-related policy development. CBmE is a thriving centre for learning, teaching and research relating to ethical and legal aspects of healthcare and biomedical sciences. We study issues of broad international significance with a particular interest in learning for and from Singapore and Asia and work collaboratively with academic colleagues across and beyond NUS, and with key stakeholders in the healthcare sector and biomedical science and policy communities.

The incumbent will work closely with the Director of the Centre for Biomedical Ethics (CBmE) to provide high-level administrative support. As part of a small administrative team at the Centre for Biomedical Ethics, the post holder will also work closely with the team to support the Centre and its Director.

Job Description

  • Act as first point of contact for the CBmE Director’s Office, and diary management on behalf of the Director
  • Monitor CBmE Director’s correspondence, including phone calls & emails and triaging for Director’s response, and/or responding as appropriate
  • Maintaining and updating a work schedule ‘To-Do list’  
  • Make travel arrangements for the CBmE Director and senior institutional visitors
  • Prepare briefing documents and itineraries
  • Prepare expense claims, invoices, reports, and other matters relating to finance in the CBmE Director’s Office
  • Manage CV and other reporting data, and analysing and presenting the data to produce reports, summaries, and application materials
  • Format and present PowerPoints, academic papers, and other outputs
  • Record minutes of meetings involving the Director, and following-up on action points as appropriate
  • Liaise with the CBmE admin team on matters such as events organising and recruitment etc  
  • Manage the administrative and reporting duties (including data collection and analysis) generated from the scope listed above

Qualifications

  • University degree with at least 1 to 2 years of experience in the institute of higher learning
  • Experience as an executive assistant, including diary and travel management at a senior level
  • Ability to juggle multiple competing priorities
  • Competent in MS Office (Office and Excel)
  • Detailed-oriented with good problem-solving skills
  • Organised, meticulous and proactive
  • A team player with good interpersonal and communication skills
