Job Description

Job Purpose:
Candidate will be part of a dynamic team in NUS Yong Loo Lin School of Medicine, to organize, plan and execute curricular programs/initiatives across all medical years of the undergraduate program. He/she will also provide administrative, secretarial, and logistical support and guidance to the Education Committees and other stakeholders, to facilitate effective implementation of the curriculum.  

Duties & Responsibilities:
1. Planning and preparation of Phase II curriculum timetabling matters and new initiatives/programs
•    Assist in providing administrative and support in the planning and preparation of medical curricular activities and subsequent new initiatives/programs.
•    Work with departments and stakeholders to facilitate quality academic and clinical training at internal and external entities. 
•    Assist in development, management and coordination of Phase II timetable.
•    Creation of the Phase II student lists required for the facilitation of academic and clinical training.
•    Dissemination of updated timetable and student lists, when necessary, to internal and external stakeholders of the School.
•    Maintain lesson plans and learning materials on the School’s Learning Management System – Entrada.
•    Assist to secure venues for all curricular activities for Phase I to III.
•    Manage curricular-related queries from internal and external stakeholders.

2. Assist in the implementation and coordination of curricular activities anchored by Programs Team in Phase I and II
•    Duties include tutors’ recruitment, logistics preparation, coordinating room setup, onsite/online support, etc. 

3. Point of Contact (POC) for Phase II Committees pertaining to curricular and non-assessment activities
•    Provide secretariat support for Phase II Committee.
•    Effective minute-taking of the Phase Committee meetings and following up of action items for the smooth implementation of curricular activities including new initiatives/programs.
•    Communicate and disseminate curricular-related requests and information to internal and external stakeholders.
•    Liaise with Student Affairs and relevant stakeholders on student-related matters with tact, fairness and timeliness. 

4. Other organizational requirements
•    Provide support for other curricular programs anchored by the team across other Phases.
•    Provide cross administrative support for all theory and clinical examinations.
•    Procurement of logistics items, where necessary. 
•    Execute any other administrative duties that may be assigned for the delivery, review, evaluation, and improvement of undergraduate medical curriculum.

Qualifications

  • Diploma holder with relevant working experience, knowledge of medical sciences or working experience in the health industry would be advantageous
  • Candidates should ideally have 1 year of work experience. Entry level candidates with good working attitude and aptitude will be considered.
  • Comfortable working in fast-paced environment with multiple stakeholders and adaptive to changes.
  • Meticulous, self-initiated, responsive, and detail-oriented with high accuracy working on large volume of data.
  • Well-organized with good monitoring and follow-up skills within tight deadlines.
  • Confidentiality, tact, and discretion when dealing with confidential data.
  • Positive attitude, able to work independently and as a team player.
  • A team player with good interpersonal & communication skills to interact all levels of staff.
  • IT savvy and proficient in MS Office applications.
