The Role

The Management Assistant Officer performs administrative and operational functions, supporting safety, training and operations in NUS Medicine research facilities.  

Job Description

General Administration

Assist with day-to-day administrative functions such as scheduling meetings, documentations and upkeep basic office supplies.

•    Liaise and book venues for meetings and functions.
•    Facilitate the dissemination of circulars, notices, promotional materials, etc. and manage responses.
•    Collate and organize submissions and declarations for administrative processing.
•    Assist with applications (e.g. card access, radiation TLD badges, etc.) and related general enquiries.
•    Maintain and upkeep hardcopy and electronic filing system for ISO conformance.


Training Course & Event Management

Facilitate the organization and running of training courses and events for research staff and students.

•    Book venues and liaise with vendors for good and service deliveries.
•    Assist with the invitations, registrations, queries, exemption requests and feedbacks from course/ event participants.
•    Facilitate event preparation and dissemination of training and event promotional materials.
•    Provide operational support on day of event/training such as venue setup, registration, etc. 


Operational Support 
Liaise with colleagues and vendors for functions, supplies & services.

•    Acquire and upkeep office supplies and serviceability of office equipment. 
•    Track certification/service expiry dates and facilitate the renewal process.
•    Arrange internal staff events.


•    Diploma/ GCE A level holder or equivalent 
•    Prior work experience in a research or academic environment would be advantageous
•    Meticulous, well-organized and have good time management
•    Able to maintain confidentiality and work discreetly with tact
•    Positive attitude, able to work independently and effectively in a team
•    Excellent communication and interpersonal skills
•    Proficient in MS Office applications
