Senior Executive, Dean's Office (Education) - (2 year contract)

Job Description

 

Job Purpose:

  • This position will play an important role in ensuring that the Education Division is aligned with the Risk Management strategies of the School. 
  • The incumbent needs to be able to plan and manage the Division's strategic workplan and liaise with the various stakeholders for reporting purposes. This position will also be involved in, and work with various stakeholders on projects as assigned by Vice-Dean (Education) (e.g., MBBS Intercalated Year Programme (IYP) and Business Process Re-engineering (BPR)). 
  • The incumbent is also expected to provide secretariat support for key meetings, and will act as the main liaison for Vice-Dean's presentation materials, coordination of meetings and consolidation (including drafting) of reports.

 

Responsibilities:

1. Risk Management (including Business Continuity Planning) 
COVID-19 Risk Management

  • Liaison with Healthcare Institution (HCI) partners on safety measures for students on clinical postings during the pandemic
  • Manage and oversee swab schedule of students, arrange for swab tests and communicate details to students
  • Manage tracking of swab test results of students
  • Write and disseminate circulars relating to clinical training and student activities, to align information across students, internal stakeholders and HCI education partners
  • Liaison to receive and disseminate MOH guidelines and requirements for clinical training during Covid-19
  • Manage the Patient Case Encounter Logbook and be on standby for contact tracing requests
  • Manage students' requests to conduct research on HCI premises
  • Provide secretariat support for Edu Contingency meeting

2. Support the proposal and introduction of new programs into the MBBS Intercalated Year Programme

  • Manage the MBBS IYP
  • Work with internal stakeholders and overseas institutions for integration of more programs into the IYP
  • Write proposal papers for programs under the IYP for approval by University (UCEP, BUS, Senate) and MOE, MOH
  • Creation of publicity materials such as website content and EDM for the MBBS IYP
  • IYP secretariat for the IYP Committee

3. Support to Vice Dean (Education) by planning and managing the workplan milestones and updates for Education Division. 

  • Liaison with MOH for requests relating to Education, seek and compile information for MOH in representation of the School
  • Planning and execution of Education Retreats (bi-annually)
  • Review progress and update the Education workplan for submission
  • Collate data and information and prepare updates
  • Key point of contact to NUSMed for the update of Division’s workplan and biannual Provost Office reports
  • Secretariat for follow-up actions
  • Point of Contact for admin matters

4. Presentation, Coordination and Report

  • Plan, prepare and collate materials for presentation slides and meeting materials for visits/conferences/seminars/workshops (NUHS and NUS Medicine)
  • Conduct ground work research on recent reported achievements via media reports and collate from the rest of the Education Division of any reportable items

5. To coordinate Business Process Re-engineering by (BPR) Education Team branches

6. Provide secretariat support for meetings such as Education Team meetings, monthly Dean-Edu meetings, twice annual Education Retreats

  • Plan and collate agenda for the meetings
  • Collate and prepare materials for the meetings
  • Compile, track and follow up on the matters arising
  • Plan and schedule minute-takers

Qualifications

  • Degree holder with at least 3 years of working experience
  • Experience in medical education will be an advantage
  • A strong team player who can work independently with minimal supervision
  • Meticulous and detailed-oriented with good project management, analytical and communication skills
  • A positive, can-do attitude, intellectual curiosity and a strong service mindset
  • Good interpersonal skills to engage effectively with stakeholders at all levels
  • Able to multi-task and work under pressure
