Job Description

This position will provide administrative support for functions related to hall academic and learning programme, manage students, alumni and IT related duties to the Hall. 

Duties include:
•    Manage and execute administrative support for functions related to hall academic and learning programme – Peer-Assisted Learning (PAL) Programme and Do Your Own Module (DYOM).  These include assist the Master with reformatting and restructuring of hall programmes, prepare posters, collate applications for Student Facilitators (SFs) and Mentees, prepare slides and conduct trainings for Student Facilitators, track SFs’ submissions of individual reflection, arrange face-to-face feedback sessions, gather online feedback and process SFs’ remuneration and welfare claims.

•    Manage and execute semi-structure hall programme such as Eusoff Conversation over Dinner, Master’s Tea, La Soiree and other learning programmes.  These include liaise with Master/RF to identify the theme of conversations/programme for the Academic Year – workshops/talks/screening of movie or documentary; de-conflict the dates of events, preparation of materials, logistics and refreshment.

•    Facilitate and conduct compulsory workshops for hall students within a limited timeframe.  These include liaise closely with student leaders to identify students who need to attend workshop, liaise with facilitators to identify workshop dates, book and prepare for venue and logistics, upload workshop attendance statistics online and follow up with students as needed with declaration forms, etc.

•    Coordinate and facilitate support to student committee for their overseas trip.  These include oversee correspondence and document submission between students and external organisations relating to OCIP trip, organise and facilitate external enrichment components for OCIP such as language classes and talks by external speakers; process financial assistance application from students and undertake recce trip overseas with RF-Advisor to appraise/review existing OCIP elements and propose modifications where suitable.

•    Manage and execute hall website matters.  These include liaise closely with IT Care, EusoffWorks and Eusoff Hall IT Student Committee on any website and IT related matters; as well as post announcements and updates on Eusoff website and relevant channels.

•    Manage and execute Alumni Mentorship Programme and Relations.  These include design poster to publicise call for application/registration to Eusoff Alumni and current students, process application/registration, match mentors with mentees, arrange welcome reception, follow up on progress with mentors and mentees, collate feedback at the end of programme, assist Director of Alumni Relations with miscellaneous requests relating to Alumni affairs and relations and maintain hall alumni database system.

•    Provide administrative and support as necessary to the hall.


•    Bachelor’s degree required
•    Excellent organizational and interpersonal skills
•    Excellent command of oral and written English
•    Experience supervising students
•    Ability to connect well with all kinds of students, inspire confidence and provide strong mentorship and support
•    Strong initiative with passion to provide excellent customer service to students
•    Team player who collaborates and communicates effectively with others, take responsibility for individual tasks and assignments while working to ensure the approach and tone are aligned with the Hall and other colleagues.
