Job Description

People management and reporting
• Provide guidance to team members, typically comprising projects, computer labs and classrooms, other support functions
• Ensure clarity around priorities and goals for the entire functional areas
• Approve requests to a certain level of authority
• Develop and manage overall financial budgeting of the functional areas, which includes classroom resource budget
• Guide the talent identification and development processes for the group
• Work across functions with peers in other groups to ensure collaboration and timely delivery of projects
• Interact with senior management for progress reporting
• Work closely with senior management and other peers for strategy development and execution planning
• Communicate financial and goal results and key performance indicators to team members on functional areas
• Facilitate goal-level creation for the broader function and work with the director to ensure the goals cascade to all colleagues

 

Classrooms, Investment and financial lab, and Resource Planning
• Develop and manage classrooms resource budget
• Communicate closely and cooperate with IT staff members on equipment needs
• Assist in maintaining stock and inventory of all assigned equipment, supplies, and software, requesting computer-related equipment as necessary
• Assist in procurement of new instructional technology equipment
• Research, test and deploy software updates and new applications
• Assist in assuring compliance with the University's acceptable use policy in the computer lab setting
• Plan and organize duty roster, assigning of work for programming and support tasks
• Develop the support workflow in accordance with ITIL standards
• Communicate closely and cooperate with faculty members to address their needs
• Train faculty and staff in use of classroom instructional technology
• Monitor and analyze computer lab use and traffic trends
• Assist in scheduling and preparation for special events that require some level of access to labs or classroom technology
• Ensure the various manuals and other IT related manuals are updated and accurately reflect best practices and processes


Digital Signage
• Assist in managing several screens around different stations, uploading of content, and also be able to customise each screen based on its location
• Proactively identify areas of concern with system design, equipment integration and end-user functionality needs and propose solutions
• Provide timely information when it’s needed and creating an attractive and engaging space to place editorials and content
• Communicate with the users, project manager, ITU/ITSS on status updates, issues and suggestions
• Compile system commissioning reports and perform system tests to verify proper functionality
• Perform special projects/tasks/duties and provide assistance as assigned
• Act as the final point of quality control on work performed by staff and contractors, to ensure that all deliverables meet and conform to quality requirements
• Work with subcontractors and/or third parties as necessary


Financial Databases Support
• Perform control access to financial software and databases
• Work with external vendors on user access, usage optimization, trials organization and software demonstrations
• Work with the team to provide inputs regarding new software and databases (where required) 


Events and Projects
• Provide support to the School’s events and projects as required
• Perform any other duties as assigned by the supervisor

Qualifications

Knowledge, Skills, Abilities
• Able to write manuals and procedures
• Able to answer work related questions; and/or interpret and apply guidelines correctly in various situations
• Familiarity with a wide variety of personal computer systems and peripherals
• Well-developed interpersonal skills, including ability to establish and maintain cooperative working relationships with other employees at all levels
• Able to remain current in all aspects of data processing, word processing, spreadsheets, and/or networks related to job assignments
• Able to conduct workshops intended to instruct faculty/staff members in the use of classroom technology
• May require regular lifting and shifting of classroom equipment


Leadership and Communication skills
• Follow rules or systems, using technical reports; and/or enforce laws, rules, regulations, or ordinances
• Communicate with internal and external groups; write manuals and reports
• Strong analytical skills
• Perform professional-level work requiring a wide range of administrative methods applied to complex problems
