Job Description
- Student Life & Event Management:
- Plan, coordinate and execute a diverse range of faculty-run student-life events and activities for the undergraduate and graduate programmes, including orientations, Freshmen inauguration ceremony, farewell and graduation dinners, welfare events, and student-led initiatives.
- Provide administrative, event support and guidance to a wide range student club activities.
- Manage student pop-up group initiatives from publicity to reviewing submissions for approval and managing post-event administrative processes such as reimbursements and activity reporting.
- Manage event logistics such as securing venue, vendor coordination, procurement and monitoring payment processes. Coordinate closely with Facilities and AV/IT support teams for event preparations, ensuring seamless execution.
- Scholarship, Bursaries & Grant Administration:
- Provide full admin support to various faculty scholarships, bursaries, grants and awards.
- Draft publicity email posters, execute call for applications, navigate various application portals to generate and process application data/documents, perform checks and verifications, liaise with donors, faculty and students to arrange interviews and preparing data for selection committee.
- Ensure awards comply with guidelines on award criteria, quantum and see to timely and accurate processing of awards offers, acceptances and disbursements.
- Comprehensive Administrative Support:
- Tending to the Law Student Affairs email account on a daily basis. Manage and respond to student inquiries (walk-ins and via dedicated email account) by providing timely advice and administrative support, and collaborate with internal stakeholders where applicable, for a range of non-academic student services rendered by the Law Student Affairs Office.
- Maintain records of students’ participation in overseas events/competitions. This includes liaising with students and internal stakeholders, and data-entry of relevant portals.
- Maintain data-entry of records for the provision of data when requested for by faculty or university.
- Financial & Procurement Operations:
- Handle related financial processes for student-life matters, including procurement, purchase order, issuing of invoices, expense reimbursement.
- Liaise with the Central Procurement Office (CPO) and finance departments to ensure compliance to university procurement procedures and guidelines.
- Communication & Engagement:
- Develop engaging email communications, design email banners, EDMs and disseminate clear and concise communications to students and stakeholders regarding events, administration and registration matters.
- Create infographics and presentations using tools like Canva and Poll EV to enhance student engagement and communication for various initiatives.
Requirements
- Degree holder with 2-3 years of relevant experience. Experience within a tertiary educational institution would be advantageous.
- Demonstrated ability to manage multiple projects, tasks, and deadlines simultaneously with meticulous attention to detail.
- Meticulous and organised team-player. Ability to work effectively and coordinate with a wide range of internal and external stakeholders (faculty, other departments, students, donors, vendors)
- Student centric, service-oriented, positive attitude, professional with a pleasant disposition.
- Strong interpersonal communications (written and verbal) and service skills.
- Proficiency in Microsoft Office Suite and adaptability to learn and work with various university-specific data systems, and including website content management using WordPress.
- Able to design simple publicity materials such as digital posters. Experience with graphic design tools such as Canva and interactive presentation tools like Poll EV is highly advantageous.
