Job Purpose

To provide administrative support for careers events and programmes. In addition, staff will be required to support the academic functions of the degree programmes.

Job Description

1.  Lunchtime Talks, No Shoptalk Challenge, and Other Events/Programmes

 

Assisting with event logistics, including setup, tear-down, and coordination; in particular assisting with:

  • Setting up registration surveys, managing RSVPs, collecting questions for speakers, and sending email reminders.
  • Booking venues.
  • Arranging catering.
  • Reserving parking spaces.

 

2. LAMP, Law Careers Fair, and Other Major Events

 

Provide general administrative support to the Law Careers team to ensure smooth execution of major events.
 

3. Work with Careers Team Colleagues to Manage and Maintain Careers Databases

 

  • Input, update, and maintain data in the careers databases.
  • Assist in generating reports and extracting relevant data as needed.
     

 

4. Degree Programme and Student Services

 

Assist with the execution of the academic functions of the degree programmes such as room booking for classes and related activities, collation of assignment submissions, exam admin support, etc.
Provide academic accessibility support to facilitate students’ completion of the degree programmes.
 

 

5. General Administrative Support (for both Careers and Academic Affairs)

 

Perform general administrative duties such as filing, scheduling, and handling correspondence. Provide support with procurement, finance matters, special projects, and other ad-hoc tasks as required.

Requirements

  • Diploma  (preferably in Business Administration/Events Management)  with at least 3 years related working experience.  
  • Competence in Microsoft Office suite, Adobe Acrobat and Zoom hosting is required.
  • Strong organizational and project management skills.
  • A team player who is pro-active, has a positive attitude and good interpersonal skills.
  • Enjoys working in a dynamic environment, with effective multitasking skills.
  • Meticulous and able to manage tight deadlines with a high degree of accuracy.
