The Institute of Policy Studies (IPS) is a policy research think-tank in the Lee Kuan Yew School of Public Policy at the National University of Singapore. IPS seeks to recruit an Executive to support the Accounts Payable and general administrative functions of the Finance team
The Executive will be the primary point of contact for all payables to external or internal suppliers or customers, and report to the Associate Director (Finance)
Duties & responsibilities
- Verifying and processing Non-Purchase Order vendor’s invoices;
- Timely processing for Request for Payment (RFP) for interviewers and part-timers;
- Reconciling vendors’ statements of accounts and investigating discrepancies;
- Managing cash advancements and settlements for projects;
- Timely following up on supermarket voucher status with project teams;
- Ensuring accuracy of vendor invoices posted in Ariba;
- Timely posting of expenses in S4 HANA and raising reclassification journals for incorrect postings;
- Creating new vendor accounts in S4 HANA to facilitate payments;
- Responding to internal and external auditor requests, queries and follow-up actions;
- Assisting in staff’s claims for Reverse Charge GST (RC GST) and Low-Value Goods (LVG) Tax;
- Creating fixed assets in S4 HANA;
- Performing other duties as assigned.
Qualifications
- A minimum degree from a reputable university or equivalent, with at least 2 years of relevant working experience;
- Proficiency in Microsoft Office (Excel and Word) and Adobe Acrobat; hands-on experience with S4 HANA, Ariba and CONCUR system will be an advantage;
- Strong communication and interpersonal skills, with the ability to collaborate across departments;
- Good analytical skills, attention to detail and accuracy;
- Responsible and capable of meeting deadlines;
- Exhibit a positive attitude and ability to work independently.
