Job Description
The Institute of Policy Studies (IPS) is an autonomous research institute within National University of Singapore. IPS is looking to recruite two Executives/ Senior Executives on a two-year contract for its Events team. This close-knit and dedicated team is responsible for organising all IPS events, which serve as a platform to communicate research findings to the broader public in Singapore.
Key responsibilities include:
- Coordinating, administering, and managing a wide range of conferences and other events; ensuring effective collaboration among management, researchers and administration staff to enusre the success of the Institute’s events.
- Managing all aspects of event coordination, including planning, budgeting, liaising with speakers and partners, booking venues, arranging participant registration, preparing conference materials, managing event secretariats, overseeing events on-site or online, and conducting post-event evaluations.
- Providing support for general administrative duties such as answering the main line, maintaining the Institute’s event management database, and performing any ad-hoc duties assigned.
- Evaluating and recommending appropriating platforms tailored for virtual, hybrid, and in-person events to ensure the team remains at the forefront of industry developments.
Qualifications
- Have at least a Bachelor’s degree in relevant Business Administration discipline from a reputable university;
- Preferably possess two years of professional experience or experience in event organisation. Fresh graduates with a keen interest in event management are also encouraged to apply;
- Be motivated, capable of working effectively under pressure, and desmonstrate strong interpersonal skills;
- Have a strong command of both written and spoken English
- Be methodical, organised and a good team player
- Be proficient in Microsoft Office, Microsoft Access and events platforms/tools such as Pigeonhole, Qualtrics, LinkTree, and Gevme.
