The incumbent will support the Outreach team within Academic Affairs. This includes student recruitment, alumni relations, partnerships, and admissions.

 

The role includes handling administrative, finance, and events logistics tasks, addressing enquiries, as well as maintaining databases and supporting the operational needs of the team.

 

 

Enquiry and Applications Management

 

  • Respond to enquiries from internal and external stakeholders.
  • Manage email mailboxes, Customer Relationship Management (CRM) platform, and other platforms as needed.
  • Assist with processing of admissions applications as needed.

 

 

Procurement and Finance:

 

  • Track and report budgets, commitments, expenditures and payments timely and accurately.
  • Manage the team’s procurement, purchasing, claims, and payment of goods and services in compliance with university policies and procedures.

 

 

Administration and Data Management

 

  • Provide day-to-day administrative support including meeting logistics, room bookings, file management, and archiving.
  • Research and coordinate travel arrangements, including bookings and itinerary planning.
  • Maintain and update databases with accuracy and confidentiality.
  • Assist with data collation and data visualizations as needed.

 

 

Events and Vendor Management

 

  • Maintain event listing on the website and other event management platforms.
  • Assist in event logistics such as preparation, setup of venue and refreshments, signage, stationery, and shipment of promotional materials.
  • Support the planning and execution of business trips, ensuring timely logistical preparation and dispatch of necessary materials.
  • Monitor inventory of outreach materials and paraphernalia, and liaise with vendors for procurement, production and timely delivery of collateral and other requisitions.

Qualifications

 

  • Diploma with preferably 2 years of work experience. Those without the requisite qualification but with relevant experience can be considered.
  • Excellent organization and time management skills, with the ability to work within tight deadlines.
  • Good interpersonal and communications skills.
  • Attention to detail.
  • Good knowledge of MS Office applications, especially Excel, and IT skills. Experience with Salesforce would be a bonus.
  • Discretion, understanding and ability to handle confidential work knowledge and issues.
  • Some knowledge of bookkeeping would be an advantage.
  • Administrative and secretarial experience would be an advantage
  • Excellent written and spoken English.
  • Basic Mandarin proficiency would be an advantage.
