Job Purpose

This position requires the Job Holder (JH) to provide and support the School in services related to Facilities Management, Logistics, Fire Safety Management/Business Continuity/Workplace Safety and Health and Administrative duties.

Job Description

1. Facilities Management
a. To plan and carry out minor renovation works in the school based on workplan targets.
b. To upkeep all office and classroom furnitures and to replace it with new furnitures as and when necessary.
c. To renew and replace building signages as and when necessary.
d. To ensure that all M&E features at offices and event venues work and to promptly report defects so that they are repaired.
e. To ensure that all school facilities and event venues are cleaned.
f. To monitor and coordinate anti-pest prevention measures with pest control vendor.
g. To escort and facilitate various contractors to carry out repair/maintenance works within the restricted spaces at school buildings.

2. Logistics Services
a. To coordinate logistics for routine events and set up at various venues.
b. To maintain an inventory of stores in central storage facility and liaise with various departments on periodic condemnation exercises.
c. To coordinate with external departments in the booking of venues in the school for events.
d. To assist in records management of fixed assets so that the assets can be easily traced.

3. Fire Safety Management, Business Continuity and Worplace Safety and Heath
a. Assist to coordinate in the development of Fire Safety and Business Continuity table-top exercises and to check with various departments that Business Impact Analysis matters are reviewed.
b. Assist in coordinating, planning and monitoring the school's workplace safety and health initiatives ensuring continued retention of BizSAFE Level 3 certification status.

4. Administrative duties
a. To procure goods and services by evaluating quotations and creating purchase orders.
b. To validate payment to contractors and vendors and obtain requisite approvals.
c. To draft new Standard Operational Procedures and policies and to review and update existing procedures and policies.
d. To record Notes of Meetings and draft presentation slides.

Qualifications

1. Higher NITEC and or Diploma in the Building Services Trade (Facilities Management, or Civil / Mechanical / Electrical Engineering or related areas)
2. Minimun 2 years of Facilities Management/General Project/Building Services experience (e.g Property management, safety and security, worplace safety and health).
3. Good written and oral communications skills.
4. Ability to present and write clear and concise reports/specifications.
5. Good Interpersonal skills and able to multi-task and work under pressure
6. Competent with MS Office applications
