Job Description

We are seeking a proactive and detail-oriented Senior Executive / Assistant Manager to support the administration of the College’s academic programmes and contribute to various college operations.

 

Roles and responsibilities 

  1. Academic Programme Administration
  • Support the Director of Studies in curriculum planning, course scheduling, and timetabling.
  • Manage course registration, allocation exercises, and student appeals through university systems.
  • Respond to student enquiries related to the University Town College Programme (UTCP).
  • Maintain and verify student academic records and study plans.
  • Process and analyse student grades and academic data.
  • Generate reports and statistics related to course offerings, enrolment, and programme outcomes.
  • Liaise with other residential colleges and university departments on curriculum policies and processes.
  • Develop a strong understanding of university academic policies, systems, and procedures.
  • Coordinate the annual UTCP Completion Ceremony.

 

  1. To support overseas field courses and learning trips
  • Work closely with key College fellows, student groups, overseas partners, and grant agencies such as the Global Relations Office on funding applications and trip planning
  • Procurement (eg. Airfare, transport), funds management and reporting
  • Administrative support for overseas course components
  • May be required to travel overseas together with College fellows and students

 

  1. Senior Learning Experience (SLE) Programme
  • Support the Fellow-in-Charge in managing application processes.
  • Coordinate applications, compile evaluation scores, and communicate outcomes to applicants.

 

  1. Website Management
  • Maintain and update College website content in a timely manner.
  • Coordinate with stakeholders to ensure webpage information remains accurate and current.
  • Lead website administration, maintenance, and enhancements to ensure a secure, reliable, and up-to-date online presence.
  • Respond to and troubleshoot website-related issues where possible.

 

  1. General Administration and Operations
  • Manage teaching and classroom technology, leveraging relevant technical skills to support teaching and learning needs.
  • Support the planning and execution of College events and activities.
  • Manage Other Paid Work in NUS (OPWN processes).
  • Manage the College's hotline services.
  • Undertake other administrative duties as assigned.

Qualifications

Requirements: 

The successful applicant should possess:

  • A recognised university degree.
  • Proficiency in Microsoft Office applications.
  • Relevant IT and data management skills, including website administration, database management, data analysis, system maintenance, and technical support.
  • Strong written and verbal communication skills.
  • Good interpersonal and stakeholder management skills.
  • Strong organisational skills with attention to detail.
  • Ability to manage multiple priorities and work under tight deadlines.
  • A collaborative team player who can adapt to diverse working environments.
