NUS College is seeking an enthusiastic and dynamic professional to support our development and alumni relations efforts. In this role, you will assist with fundraising campaigns, support major gift initiatives, manage correspondences, and play a key role in event management and gift administration. Senior Manager, Alumni Relations/Development
Duties & Responsibilities
• Data Management:
o Manage all aspects of the alumni, donor and prospect database and ensure records are accurate and detailed.
o Ensure data integrity and confidentiality of donor and alumni information.
o Coordinate data collection across the faculty to ensure that alumni and donor metrics are accurate.
o Generate reports and analyse data for alumni relations and development needs.
o Collate and update alumni and donor profiles in the database (i.e. gather information from various sources to enrich alumni records)
• Prospect Research:
o Assist in identifying and qualifying prospective major gift donors.
o Collaborate closely with Head, Development on developing cultivation plans for prospective donors.
o Oversee and manage the donor pipeline
• Gift Stewardship:
o Lead in managing all aspects of the donor stewardship piece including donor reporting schedule, donor engagement and donor communications.
o Manage process for customised impact reports to donors and ensure that reports are produced in a timely manner.
o Liaise with internal stakeholders to collect and track information on impact of philanthropic gifts.
o Oversee the Development Office’s gift fund registry.
o Assist Head, Development in gift fund utilisation conversations with internal stakeholders.
• Event Management Support:
o Assist in the planning and execution of alumni and donor events such as reunions, networking sessions, fireside chats, fundraising galas, etc.
o Manage all aspects of event logistics including venue bookings, event invitations, event guest list, procurement matters, budget tracking, etc.
o Where required, support in-person or virtual events
• Communication:
o Oversee student, donor and alumni profiles and stories for the website, newsletter, and/or other university publications. This includes social media, videos, collateral and website management.
o Manage all aspects of the giving and alumni pages, including Alumni Notes and ensuring that this is updated regularly.
o Manage the mailboxes regularly so that donor and alumni queries are responded to in a timely manner.
o Design and craft proposals that align with the funding priorities of the College.
o Collaborate with the Development and the Communications team to compile an annual Giving Stories bookle
• Major and Principal Gift Support:
o Manage all aspects of moving donors through the donor cycle.
o Collaborate with the Development team to develop cultivation and stewardship plans for prospects/ donors.
o Track progress on key milestones of cultivation and stewardship plans.
o Provide support for all major and principal prospect / donor meetings - including preparation of administrative briefs, booking of venues, set up and tear down
• Administrative Support:
o Liaison between the Office of Alumni Relations (OAR) and NUS College on alumni relations matters as well as the NUS Development Office (DVO and NUS College on fundraising matters.
o Develop and manage policies and procedures for the Alumni Relations & Development Offices.
o Oversee all aspects of gift processing at the College.
o Ensure that all gifts to the College are acknowledged in a timely manner.
o Provide general administrative support to the Alumni Relations and Development team.
o Manage all physical and online mailing lists.
o Track expenses related to the Alumni Relations and Development budgets, ensuring utilisation compliance aligns with the university’s financial guidelines.
o Collaborate with the Yale-NUS College Alumni Exco, Class/Alumni Ambassadors, alumni interviewers, alumni volunteers, alumni stakeholders, as well as internal stakeholders to build a culture of volunteerism and leadership
• Outreach Matters:
o Provide support on other outreach matters, as required, including events such as Open House, acceptance campaigns, fundraising campaigns, Commencement, and alumni reunions. Some events may require evening or weekend availability.
o Collaborate with other administrative teams on cross-functional projects and shared duties, gaining exposure to various aspects of NUSC’s operations
• Additional Responsibilities:
o Take part in any additional duties and tasks related to cultivating NUSC’s alumni and enhancing their overall experience with the College.
Qualifications
• A recognised university degree with at least 6 years of proven track record in administrative work or partnership and/stakeholder engagement. Job title and salary will be commensurate with professional work experience.
• Flexible to be available and facilitate events and activities held after office-hours in the evenings and on weekends (as required).
• Comfortable in using technology tools and various communication platforms for stakeholder engagement.
• Resourceful, service-oriented, and enthusiastic about taking on new challenges.
• Passionate about education and committed to creating opportunities for students.
• Ability to work independently and collaboratively in a team environment.
• Proficient in WordPress, Salesforce, MailChimp, Microsoft Office, Video and Design Editing programmes is advantageous.
• Events management experience is advantageous.
