This pivotal position involves overseeing vital functions such as data management, prospect research, gift stewardship, and administration – the backbone of the department. The incumbent will manage all aspects of donor and prospect databases, develop and implement policies, and coordinate gift processing and stewardship to ensure timely acknowledgement of all gifts. Additionally, they will provide support for event management, development communications, annual giving campaigns, major gift support, and outreach initiatives. Reporting Manager:
Head of Development, NUS College

 

Duties and Responsibilities:

•    Gift Management and Administration
o    Develop and manage policies and procedures for the Development Office.
o    Oversee the department’s gift fund registry.
o    Oversee all aspects of gift processing at the College.
o    Ensure that all donors are thanked in a timely manner for their gift to the College.
o    Liaise between internal stakeholders to ensure gift requirements are fulfilled and funds are utilised in accordance to the gift purpose.
o    Manage all physical and online mailing lists.
o    Provide general administrative support to the Development Office as required.

Data Management
o    Manage all aspects of donor and prospect database and serve as the department’s point person for all data management matters.
o    Liaise with NUS Development Office on matters as it relates to the database from running reports, customised dashboards as well as data warehouse.
o    Oversee all resources as it relates to giving-related statistics.

 

Prospect Research
o    Assist in identifying and qualification of prospective major gift donors.
o    Manage a coordinated prospect research effort including organising, tracking requests and conducting primary research.
o    Collaborate closely with the Head of Development on developing cultivation plans for prospective donors.
o    Oversee and manage the donor pipeline.


Gift Stewardship
o    Lead in managing all aspects of the donor stewardship piece including donor reporting schedule, donor engagement and donor communications.
o    Manage process for customised impact reports to donors and ensure that reports are produced in a timely manner.
o    Liaise with internal stakeholders to collect and track information on impact of philanthropic gifts.
o    Assist Head of Development in gift fund utilisation conversations with internal stakeholders.

 

Event Management Support
o    Collaborate closely with the Senior Manager to manage all aspects of virtual and physical donor events – inclusive of budgeting, project scheduling, programme development, venue sourcing, preparing administrative briefs and ensuring a smooth programme for internal and external stakeholders.
o    Coordinate event invitations as well as communication to donors, etc.

 

Development Communications Support
o    Assist the Senior Manager in developing stories and content to engage community, donors and stakeholders. This includes social media, videos, collateral and website management.
o    Design and craft proposals that align with the funding priorities of the College.
o    Collaborate with the Development and the Communications team to compile an annual Giving Stories booklet.
o    Manage the NUS College’s Giving email.

 

Major Gift Support
o    Manage all back-end aspects of moving donors through the donor cycle.
o    Collaborate with the Head of Development to develop cultivation and stewardship plans for prospects/ donors.
o    Track progress on key milestones of cultivation and stewardship plans.
o    Provide support for all major and principal prospect / donor meetings - including preparation of administrative briefs, booking venues, set up and tear down.

 

Outreach Matters
o    Provide support on other Outreach matters, from time to time.
o    Assist in outreach events such as open house, acceptance campaign, commencement, alumni reunion, etc.
o    As required, work with other administrative teams on cross‐ functional projects as well as shared duties.

Qualifications

•    A good degree with at least 2 to 6 years of working experience (preferred if in a similar role). 
•    Meticulous, analytical, organised, resourceful, independent and enjoy challenges.
•    Excellent interpersonal, written and communication skills.
•    Mature and adaptive and able to interact well with all levels of stakeholders.
•    Must be a team player with the ability to build a collaborative working relationship with people at all levels.
•    Proficient in Microsoft Office applications.
•    Knowledge in Customer Relationship Management programmes (ie. Blackbaud, Raiser’s Edge, Salesforce, etc.), Mailchimp, Video Editing and Design Editing programmes will be an added advantage.

•    Candidates with less experience will be considered for a lower level position.
