Job Description
The incumbent will play a key role in supporting end-to end operations of student academic administration and processes within the graduate school. This individual should be adaptable, versatile, and ready to handle a range of responsibilities as required. He/She must excel in a fast-paced environment and work closely with a variety of stakeholders, including students, faculty, and external partners, to ensure the smooth running of various postgraduate student academic initiatives.
Duties & Responsibilities:
1. Maintenance of Graduate Research student matters:
• Manage the range of daily activities for graduate research students, including updating and verifying student, financial aid, candidature and thesis-related updates in the student systems, ensuring that these are carried out accurately and in a timely manner.
• Administer students’ registration, degree completion, conferment and ensure that important documents are promptly uploaded in each student’s e-files.
• Process the application of Student’s Pass for graduate research students and long-term Social Visit Pass for their spouse and children.
• Provide guidance to Faculties/Schools and Office of Finance on policies and procedures concerning graduate research matters, while fostering communication and coordinating student-related activities, updates, and record management.
• Propose and recommend solutions to issues whenever feasible.
2. Process Implementation and Improvement:
• Review existing work processes to identify inefficiencies and areas for improvement.
• Generate data from relevant systems and use data analysis techniques to analyze student data and provide insights to inform strategic decision-making and resource allocation.
• Assist in implementing new student initiatives and University policies, ensuring their efficient execution.
• Collaborate with stakeholders to develop and implement strategies to streamline workflows, enhance productivity, and optimise resource utilization.
3. Manage Graduate Research system-related matters:
• Responsible for identifying system improvements to streamline and automate work processes.
• Collaborate with IT to gather user requirements for system enhancements, conduct user acceptance testing, and ensure the implementation of system-related processes and activities.
• Create training materials and conduct system briefings and training sessions.
• Assist with troubleshooting basic technical issues and handle user inquiries.
4. Other Assigned Duties:
• Support events and activities organised by the various teams within NUSGS.
• Perform any duties as assigned.
Qualifications
- A good University Degree, with minimum 5 years of relevant working experience, preferably in an academic or educational environment.
- Demonstrates good understanding of postgraduate programmes will be an added advantage.
- Self-motivated, detail-oriented, and capable of working independently.
- A good team player who is adaptable to change and maintains a positive work attitude.
- Possess strong organisational skills, including the ability to plan, prioritise and manage tasks to meet tight deadlines, as well as excellent interpersonal, written, and verbal communication skills.
- Must be IT savvy and proficient in MS Office applications, including Microsoft Word, Excel, PowerPoint. Knowledge of data analytics is a strong plus.
