The School of Continuing and Lifelong Education (SCALE), established in 2016 as the National University of Singapore’s (NUS) hub for lifelong learning, is both an academic school and a university-wide platform. As a school, SCALE specialises in multi-disciplinary education transcending conventional domains — bringing together expertise from across NUS' diverse faculties to create integrated learning experiences. Beyond its academic function, SCALE aggregates lifelong learning opportunities from across NUS onto a single platform for alumni, works with industry and government partners to co-create workforce development and transformation programmes, and provides essential central services to catalyse and support lifelong education across the entire university, including grant management, outreach, application management, and guidance in programme innovation and frameworks.
About the Role
To augment our manpower resources in the School, we are looking for an Assistant Manager/Senior Executive/Executive who will support our local programmes’ operations, as well as overseas business development activities, particularly in China, India and Southeast Asia.
Reporting functionally to the Associate Director and operationally to the Operations’ Senior Manager, the successful candidate will play a key role in ensuring the smooth execution of youth programmes across classroom and online settings. He/She will also support engagement efforts to build positive relationships with clients and partners and provide assistance towards the identification and tracking of business opportunities.
The incumbent will demonstrate collaboration and adaptability and be comfortable dealing with ambiguity in a fast-paced work environment. Good communication, coordination, and organisational skills are crucial, as the role involves working closely with both internal and external stakeholders. The ability to think on one’s feet and respond to changing circumstances are also important.
This role is offered on a 3-year renewable contract basis in the first instance, with the prospect of a regular open employment contract thereafter subject to satisfactory job performance during the first 3 years.
Remuneration is based on a 12-month salary structure, with an annual variable bonus which is subject to the incumbent’s performance and the University/School’s prevailing remuneration policies.
The incumbent will be emplaced at an appropriate appointment grade based on his/her individual merits.
Key Duties and Responsibilities:
• Assist in organising and supporting the delivery of classroom, online and blended programmes, including logistics coordination, participant communication, and provision of frontline support during sessions.
• Provide administrative support for business development activities, such as maintaining records of potential leads, assisting the preparation of engagement materials and supporting outreach activities.
• Coordinate meetings, prepare session materials, and respond to queries from programme participants, partners, and internal stakeholders.
• Maintain and regularly update operations databases, teaching facilities, and related infrastructure to ensure full readiness for programme delivery.
• Foster strong, positive cross-functional relationships with various SCALE Units, as well as Schools and Faculties across NUS, to ensure smooth operations.
• Assist in preparing operational reports, presentations, and management submissions as required.
• Assist in managing contingent staff to ensure smooth programmes delivery.
• Participate in reviewing and improving work processes to enhance efficiency and service quality, providing suggestions and operational support for process improvements.
Requirements:
Academic & Professional Certification
• A bachelor’s degree in any discipline from a reputable university. Candidates without a degree but possess relevant work experience may also be considered.
• Strong written and spoken English proficiency.
• Being conversant in a second Asian language, e.g. Chinese, Bahasa, Tagalog/ Filipino, Vietnamese, will be an advantage in managing clients in the region.
• Tech savvy and proficient in MS Office, SaaS, and possess basic data analytics skills.
Experience & Attributes
• 5 years of relevant working experience.
• Exposure to youth programmes management (in‑person and/or online) would be advantageous.
• Strong project and programme management skills, with the ability to manage stakeholders across diverse settings.
• Highly self‑motivated and able to work fast and smart independently, with a strong “can‑do” attitude.
• Able to conduct basic market research, analyse quantitative and qualitative data, and present structured insights.
• Excellent interpersonal and organisational skills; strong team player with cultural sensitivity.
• Able to think on one’s feet, manage ambiguity, and respond effectively to challenges in a dynamic environment.
• Demonstrate eagerness to achieve results and a commitment to continuous personal and professional development.
