Job Description
The incumbent will provide administrative support to the Undergraduate Studies Section in the Dean's Office, Faculty of Science. Duties and responsibilities include, but are not limited to the following –
1. French Double Degree Programme (FDDP)
• End to end management of the programme
• Prepare and arrange for information and interview sessions for applicants
• Source and arrange for French language immersion for students
• Mount FDDP courses and manage the teaching appointments to support the courses
• Prepare exam materials and handle uploading of exams results
• Check students’ graduation requirements and update the student system
• Support publicity and outreach for the programm
2. Double Degree Programmes
• Arrange interview sessions for mid-stream applicants
• Liaise with other Faculties/Schools pertaining to students’ applications for second degree
• Conduct Major requirements and graduation check
3. Undergraduate Research Opportunities Programme in Science (UROPS)
• Ensure UROPS courses are mounted in the UROPS systems
• Coordinate registration of UROPS projects
• Prepare and liaise with Finance Office on reimbursements to department
4. Design-Your-Own-Course (DYOC)
• Seek approval and allocate group DYOC to students
• Attend to enquiries pertaining to group DYOC
5. Special Programme in Science (SPS)
• Update students’ status in the student system
• Pre-allocate SPS courses to student
6. Curriculum Matters
• Assist in the curriculum approval process for courses offered through the College of Humanities and Science
7. Undergraduate Section Duties
• To be rostered for Section duties such as taking notes of regular Section meetings, replying to email enquiries from students, and counter duties
8. Others
• Provide support at University/Faculty-level events such as Open House, Freshmen Orientation Briefing, and Commencement
• Any other duties as assigned by the Vice-Dean and Section Head
Qualifications/Requirements/Other Info
- Degree holder with a positive learning attitude
- Proficient in Microsoft applications
- Ability to work under pressure and multi-task in a fast-paced environment with multiple timelines and demands
- Ability to exercise tact and discretion in handling sensitive and confidential information
- Possess effective oral and written communication skills
- Mature, independent, adaptive and meticulous
- A team player with the ability to interact well with all levels of stakeholders
- Remuneration is based on a 12-month salary structure, with annual variable bonus which is subject to incumbent’s performance and the University/School’s prevailing remuneration policies.
- The incumbent will be emplaced at an appropriate appointment grade based on his/her individual merits.
